Job Description
The Fitness and Instructional Program Coordinator reports to and assists the Assistant Director of Fitness and Instructional Programs with the logistical operations of the University of Notre Dame fitness/instructional program that offers over forty different class options such as Zumba®, Barre, Yoga, and Indoor Cycling throughout the academic year with approximately 3,500 participants annually.
This position has personnel management responsibilities that include the training, development and daily supervision of approximately fourty group fitness instructors and personal trainers. The Fitness and Instructional Program Coordinator will establish relationships and collaborate with other RecSports areas, offices within the Division of Student Affairs, and throughout the University to enhance fitness and instructional program services.
ESSENTIAL DUTIES & RESPONSIBILITIES
Staff and Personnel Management
  • Recruit, hire, train, supervise, evaluate and develop approximately thirty-five student/non-student employees and a Fitness and Instructional Programs Program Assistant
  • Review and submit bi-monthly employee payroll
  • Conduct twice-annual employee evaluations, including attending and reviewing group fitness classes/personal training sessions/instructional series lessons, scheduling semesterly one-on-one meetings, and providing feedback that supports staff performance improvement
  • Program and execute monthly staff meetings focused on professional development that covers training on RecSports policies/procedures, customer service, risk management response, position-specific training, etc.
  • Collaborate with the Assistant Director and ACE to create, facilitate, and document continuing education workshops for both Group Fitness Instructors and Personal Trainers
  • Document and monitor employee certifications for risk management, RecSports, and position-specific compliance
  • Instruct American Red Cross certification classes for fitness and instructional programs staff and/or RecSports employees as needed

Fitness and Instructional Programs Management
  • Manage the sale and administration of Fitness Class passes, Instructional Programs packages, and Personal Training packages; process refunds and address participant customer service needs as necessary.
  • Create Group and F.A.S.T. (Faculty and Staff Training) fitness schedules, class descriptions, and Innosoft Fusion program offerings for over sixty classes each semester, and up to ten offerings each summer
  • Submit facility reservation requests for classes and other programming to the Assistant Director for Facilities Management and Operations each semester
  • Review, manage, and schedule student organization and departmental private fitness class requests
  • Support the Assistant Director of Fitness and Instructional Programs and the Assistant Director of Facilities Management and Operations with managing the maintenance of fitness equipment
  • Submit program marketing requests (photography, social media, etc.) to the Assistant Director of Communication and Engagement within established deadlines
  • Demonstrate ability to cover group fitness classes, instructional series lessons, and/or personal training sessions if necessary
  • Assist in the development of new program initiatives and special events; lead the continuance of current programs (i.e., the Personal Trainer and Group Fitness Fit Academy)

Additional Responsibilities
  • Participates as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Gender Relations Center, Multicultural Student Programs and Services, Office of Student Enrichment, Office of Community Standards, Student Activities Office, University Bands, Family Resource Center and student media groups.
  • Represent RecSports on campus wide committees.
  • Assist with RecSports special events.
  • Attend and participate in Division of Student Affairs events, programs, and training.
  • Perform other duties as assigned.
Minimum Qualifications
  • Bachelor’s degree required, master’s degree preferred. Major in recreation administration, sport management, leisure studies, physical education, kinesiology, or comparable degree.
  • Possess a current Group Fitness Instructor and/or Personal Training certification from a nationally recognized fitness organization (NCCA) such as AFAA, ACE or ACSM
  • Experience supervising students and demonstrated commitment to student learning and development
  • American Red Cross CPR/AED for the Professional Rescuer with First Aid and related Instructor certification, or the demonstrated ability to obtain both base-level and instructor certifications within 90 days of hire
Preferred Qualifications
  • Master’s degree in recreation administration, sports management, student development, kinesiology, or another related field
  • 2-3 years of administrative, staff development, and risk management experience in a collegiate recreation group fitness, personal training, and/or strength and conditioning program
  • Two-year fitness-related graduate assistantship in a recreation setting
  • Experience with fitness class scheduling software (e.g. Innosoft Fusion)
