Position Summary:

The Fiscal Support Manager (FSM) will serve as an integral member of the Division of Marketing and Communications’ team to serve as the division’s office manager. The FSM works at the discretion of the CMCO, but supervising any student or intern workers for the division.


Duties & Responsibilities:

  • Provides excellent customer service as the first point of contact for internal and external visitors to the communications, publications and digital content areas of the university, and communicating with individuals by phone, email and in person who are seeking the services of the division.
  • Oversees placement contracts for media regarding fulfilment of content to outlet as well as decision making ability related to selection of delegated media placements.
  • Study written material for the purpose of understanding institutional, state and federal regulations and institutional policies and procedures to assist in management of the office
  • Possess working knowledge of university’s communications guidelines to assist with identifying potential issues
  • Provide feedback and recommendations to the Chief Marketing and Communications Officer and division staff regarding policies and procedures
  • Serve as the liaison of the Chief Marketing and Communications Officer to on-campus constituencies as designated by the CMCO
  • Maintain confidentiality in accordance with FERPA regulations and established privacy standards. Discretion and reliability in sensitive and confidential matters are vital
  • Maintaining ledgers for budgetary and reporting purposes of the division of marketing and communications, places orders for supplies and materials against the divisional budgets, and reconciles reports and paperwork related to division budget
  • Preparing weekly and monthly reports on budgets and expenditures of the division’s three primary offices: University Relations, Creative and Printing Services, and Digital Creative Services
  • Responsible for budget transfers, p-card entry and logs, and procurement of equipment items at request of Chief Marketing and Communications Officer
  • Maintaining internal databases for job tickets generated by PCS and DCS and follow up billing for services provided to internal clients
  • Liaison with vendors related to paid advertising placements, tracking of success rates, and reporting results
  • Daily reports related to earned and paid placements for university media
  • Maintaining record of internal and external communication to support the university’s strategic communications goals
  • Research and compile reports for the CMCO related to current trends
  • Manager of the university’s calendar system and media monitoring systems
  • Assist in monitoring of official social media accounts, particularly as related to compliance with university guidelines and branding standards
  • Other duties as assigned


Knowledge/Skills/Abilities:

Knowledge of accounting principles and database management, software applications, applicable laws, regulations, and policies of assigned section, and customer service techniques
Ability to comprehend and assimilate technical and business-related documents, apply policies and procedures and other applicable regulations associated with assigned department or program, and conduct research, perform quantitative quality assurance reviews, and prepare reports

Knowledge of Office Suite, familiarity with cloud-based collaboration tools, online content management systems and cloud-based data collection, media monitoring, and email delivery systems
Prior experience in a university administrative setting is preferred, as well as understanding of the Banner database system as used for university accounts


Minimum Qualifications:

The formal education of an earned Bachelor's Degree in general business, finance, or a related field
Other job-related education and/or experience may be substituted for all or parts of these basic requirements upon approval of the qualifications review committee
