Summary of Duties

The Chemistry and Biochemistry within the College of Arts and Sciences seeks a Fiscal Officer to join our team. The College of Arts and Sciences is the largest college and the academic heart of the university. The College hosts 81 majors. The Fiscal Officer is responsible for the day-to-day accounting activities and business services of the Chemistry and Biochemistry Department (CBC); implements fiscal processes and procedures that ensure adherence to appropriate internal controls and compliance with established policies and procedures; initiates journal entries and fund transfers; prepares and submits cost transfers; submits deposits; manages billing for CBC research support shops including invoicing customers, posting accounts receivable, reporting sales taxes, and tracking shop receivables; reallocates monthly Faculty Club billing; prepares and submits printer usage billing; distributes release time, project overruns and residuals; tracks and distributes summer grad student support funding. Reviews and monitors fund balances and expenditures; manages financial reporting to faculty and supervisors; maintains complex spreadsheet of fiscal activity; distributes customized reports monthly. Researches, compiles and distributes other reports as requested. Reconciles departmental transactions to the general ledger monthly; initiates corrections. Maintains financial accounting records, particularly for journals, fund transfers, deposits, internal vendors, and research support shop billing; works with researchers, SPOs, HR and grant coordinators to resolves OSP issues, cost overruns and residual balances at completion of research projects. Provides information to faculty, staff, and students with respect to accounting, procurement and payment processes; researches and responds to requests for information; prepares reimbursements, payment requests, and wire transfers as needed. Assists with equipment inventory and audits, as well as tracking capital and non-capital assets as needed. Serves as backup for procurement activities in the absence of Fiscal Associates including invoice processing, p-card management, and resolution of procurement issues. Serves as backup approver for eRequest and eTravel. Hires, evaluates and serves as supervisor of department fiscal associates and office administrative associate; plans and assigns work activities; ensures all associates are properly trained; reviews training requirements for fiscal staff on an annual basis. Performs other duties as assigned.

Required Qualifications

Bachelor’s degree in accounting or an equivalent combination of education and experience. Three years of financial management experience.

Desired Qualifications

Knowledge of accounting principles and applications, progressively responsible financial and administrative experience. Excellent communication, customer service and problem resolution skills strongly desired; experience with University financial and procurement policy and systems; demonstrated ability to manage multiple time-critical priorities and projects with minimal supervision.

Target Salary $47,500.00 - $58,000.00 Annually
