POSITION SUMMARY:

This position provides fiscal and office clerical support to assist with the administration of purchasing, auxiliary, grant, invoicing, and/or travel related transactions within a department, program, auxiliary business, center, campus or college.   The Fiscal Assistant performs tasks of a basic to moderate complexity and these duties are predominately attached to a budget and are therefore fiscal in nature.

RESPONSIBILITIES:

Reconciles P-card statements for multiple employees and researches any inconsistencies or issues. Works to ensure appropriate University deadlines are met with regards to timeliness of reconciliations and submittal of appropriate documents to Procurement Services.
Verifies invoices are received and compared against open Purchase Orders and then submitted to Accounts Payable. Ensures that all invoices are paid in a timely manner and responds to inquires regarding the status of requisitions, PO?s or goods/services received.
Assists in billing for services for Information Technology related to communications, server related storage, cloud services, work orders, etc. Monitors accounts receivable related to these billings and works with customers to resolve past due accounts.
Assists in reconciling payroll related reports including but not limited to Remaining Spending Authority and projections of information related to payroll. Creating RET's when necessary to move payroll between funding sources.
Prepares and processes deposits and check requests for USF Information Technology accounts. Runs routine budget reports from FAST and Finance Mart or other department specific databases/programs. Reconciles departmental ledgers against source documentation to ensure financial accuracy.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.
SPECIAL SKILLS/TRAINING:
Requires attention to detail and ability to communicate effectively with individuals at various levels of the organization.
