Position Overview
The College of Letters, Arts and Social Sciences (CLASS) welcomes applications for a full-time Financial Specialist. Reporting to the Director of Admin and Fiscal Operations, this position will provide personnel support and financial backup for central units (History, JAMM, Global Studies, Politics and Philosophy) within CLASS. That support may include: routine processing of financial and personnel transactions, running reports and analyzing data, monitoring and maintaining budgets, identifying and resolving errors, providing fiscal oversight and interpreting policies and procedures.
Physically located in the Administration Building, this position provides support to the unit by maintaining the organization of the office, keeping track of inventory and supplies, ensuring front desk coverage, and assists with some scheduling. This position will work closely with the chairs and directors of the assigned departments in an effort to provide the highest level of admin & financial support possible.

Position Responsibilities


Key Accountability Coordinate Fiscal Duties by:
Job Duties
  • Assisting with salary agreements and EPAFs;
  • Assisting with travel claims, personal reimbursements, purchasing card expense claims, service agreements, and purchase orders;
  • Assisting with providing college-wide trainings on financial operations processes;
  • Interpreting and explaining rules, policies, and procedures, ensuring deadlines are met and policies and procedures are followed;
  • Providing backup financial support to other CLASS units when requested by dean’s office;
  • Processing scholarships, in coordination with Scholarship Committee, involving scholarship agreements, determining eligibility, awarding and maintaining account records;
  • Training and supporting student clubs and ambassadors with financial needs and projects;
  • Assisting with signature event planning and guest travel arrangements;
  • Supporting course fee review, audit, and future planning.
Key Accountability Coordinate Clerical and Support for Personnel Duties by:
Job Duties
  • Providing customer service to walk-in and telephone customers;
  • Coordinating and implementing position searches and PD updates using PeopleAdmin;
  • Compiling course syllabi each semester and collecting updated faculty CVs;
  • Assisting faculty with administrative processes such as promotion, tenure, third-year review and other special projects;
  • Assisting Chairs/Directors with the annual evaluation process;
  • Maintaining course scheduling;
  • Assisting with advisor assignment, advising blocks and registration overrides, as delegated, when academic advisors are unavailable;
  • Notifying students of classroom changes or course related information;
  • Updating department websites, in consultation with web coordinator;
  • Handling special tasks and preparing reports, as needed;
  • Accessing and managing student data in VandalWeb, Banner, Slate and other software to provide unit leadership (i.e. Assoc Chairs, Program Directors, etc) and faculty with relevant data.
Key Accountability Contribute to team effort by:
Job Duties
  • Serving on university committees and participating in staff meetings at the department, college, and university level;
  • Promoting favorable impressions of the University and maintaining a friendly and helpful environment for faculty, staff, and students;
  • Staying current on university practices and required skills through completing U of I’s required trainings, attending workshop meetings, and classes as applicable;
  • Maintaining positive working relationships with other campus offices;
  • Performing other duties as assigned.

Position Qualifications


Required Experience
  • Two years of financial support services
  • Experience with office support functions; including using computer software and applications for word processing, email, internet searches, and data organization
  • Experience interpreting, applying, and explaining complex information such as regulations, policies, or services
  • Independently solving problems and performing liaison activities in a work setting and coordinating activities requiring complex arrangements
Required Education
  • High School Diploma or GED
Required Licensures, Certifications or other
Additional Preferred
  • Bachelor’s degree and/or four years’ experience as an administrative or financial professional
  • Knowledge of office management, record keeping methods, and information management practices
  • Knowledge of University of Idaho policies and procedures
  • Experience working with faculty, staff, and students in a university setting
