Job Description:

This position supports all financial activities for the Commercial Real Estate and Auxiliary Housing departments. Reporting to the Director, Finance and Operations, the Financial Coordinator will be responsible for processing financial transactions (payables and receivables) via the lease administration database and integrations with internal financial systems, creating purchase requisitions and purchase orders in accordance with University policies and procedures, creating journal entries, and updating the commercial lease administration database financial entries with financial lease terms. This position is also responsible for monitoring and analyzing monthly financial statements for accuracy and discrepancies, and making necessary corrections. It is also responsible for following up on tenant account balances and providing monthly statements.  In support of Auxiliary Housing, this position is responsible for the processing of student account billing and providing other accounting support to that department as needed.

Major Responsibilities:

1. Process A/P and A/R transactions related to Commercial Real Estate and Auxiliary Housing portfolio.                                                

Supporting Actions:

 Generate, review, and submit A/P and A/R files via lease administration system for upload into Workday.  Ensure tenant billing is accurate and in accordance with the terms of the lease and that the lease administration database financial entries are updated in a timely manner in accordance with lease/amendment terms.  Collaborate with the Assistant Director, Auxiliary Housing in the preparation of the bi-annual billing to student accounts for Auxiliary Housing, as well as reviewing all other student charges posted to Banner for accuracy.  Work and follow up with Property Manager in setting up recurring payments to suppliers based on supplier contracts and update, as necessary. Set up purchase orders via the Brown Contract Management system as requested by department staff.    Provide accounting support as needed to Assistant Director, Auxiliary Housing.

2. Month End/Year End/Quarterly Accounting Duties

Supporting Actions   

Prepare month end journal entries to allocate rent to Brown Internal tenants per their occupancy agreements, monitor the Real Estate cost centers for unusual charges and for accuracy ⓠinvestigate and rectify in a timely manner as needed.  Ensure that transactions have been accurately recorded and make necessary adjustments.  Review and audit monthly activity reports provided by third party property and parking management providers.  Accurately record activity in these reports via journal entry and/or supplier invoice.  Prepare monthly closing entries for Commercial Real Estate & Auxiliary Housing to record internal billing, make adjustments for credit card payments, and ensure that financial transactions are properly accounted for in the financial statements.

3. Lease Administration

Follow up on all critical date and financial alerts with both Transaction Manager and Director of Finance & Operations, Real Estate.  Accurately prepare and submit monthly statements to all real estate tenants and follow up as necessary. Frequently monitor tenant account balances in Workday to ensure proper application of payments by the Cashierâ™s office and initiate corrective actions as necessary.  Request and track tenant sales information and create entries to charge percent rent in accordance with the terms of the lease. Maintain spreadsheets used to capture electricity consumption in real estate buildings and to allocate tenant share.

4. Respond to information requests from both internal and external constituents, ensuring that all information shared is timely, accurate, and clearly and concisely communicated; other duties as assigned. 

Supporting Actions:  Research information via all available sources (i.e., lease database, Workday, shared file network, etc.).

Qualifications:

Education/Experience

  • Bachelorâ™s Degree and 1-3 years of related experience, or equivalent combination of skills and experience, related preferably in either higher education or in Real Estate.

Job Competencies

  • Strong bookkeeping background and solid understanding of basic accounting principles
  • Highly proficient is financial reporting and spreadsheet applications with attention to detail
  • Experience using ERP system financial modules, preferably in Workday.
  • Strong planning, management, and organizational skills in a fast paced, multi-faceted environment, with demonstrated ability to manage multiple tasks, set priorities, and meet deadlines.
  • Impeccable attention to detail, strong analytical skills, and a strong aptitude for accuracy, completeness, and problem solving,
  • Must be able to work independently, be proactive and take initiative
  • Must be a willing team player who understands that sometimes it is necessary to cross positional lines in order to help the department achieve its high standards and meet deadlines
  • Comfortable using and developing new technology enhancements to meet business process needs
  • Must be flexible with a high sense of accountability and responsibility
  • Must be able to manage multiple detailed tasks
  • Demonstrated proficiency in Excel, including pivot tables, formulas, spreadsheets, and databases.
  • Ability to problem solve and troubleshoot issues when appropriate

  • Ability to maintain confidentiality of records and information
  • Ability to foster a collaborative, team centered environment
