JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State College of Medicine is seeking a candidate for a Financial Coordinator 3 to work at University Park located in State College, PA. This position will solve complex customer issues, oversee the processing of payments, deposits and billing, lead and oversee budget implementation, manage authorizations, document procedures and recommend process improvements and supervise/direct the work of lower level staff. The successful candidate will be responsible for the following: 

  • Support Educational Affairs finance shared services.  Specifically, support of financial operations;  student aid;  advise on policy and procedures and resolve problems (scale and scope of job moves from supporting single area, general fund operations, to increasing complexity based on size, type, income and impact of decisions on University).
  • Support the summer college work-study program (CWSP); work collaboratively with MSR coordinator, human resources and various departments on facilitating this program.
  • Serve as Financial Aid Coordinator at the UPRC, providing basic support to administrative area; enforce policy and procedure and assure internal controls are in place. 

  • Provide service to students and parents by answering questions regarding student aid and resolving basic issues.

  • Support the awarding of scholarships on Penn State’s E-steward system.

  • Assist with the development and on-going maintenance of spreadsheets and reports related to student data and scholarship account balances.

  • Assist with orientation and financial planning workshops.

  • Coordinate various cash operations for finance shared services team such as deposits and reconciliation of direct bill charges for various internal orders within Educational Affairs.

  • Oversee non-student receivable functions, including billing and payment processing; monitor account aging, answer complex customer queries; resolve reconciliation issues.

  • Assist with budget implementation for finance shared services budgets; review and approve budget amendments and new account forms; monitor budgets for overdrafts and expenditure controls and assure compliance with grant requirements and restrictions; close restricted accounts and resolve issues in consultation with Research Accounting, including requests to adjust account dates and budget controls.

  • Resolve intermediate moderately complex issues for both internal and external customers; communicate with customers as needed, including explanation of policies and procedures.

  • Prepare expense reports within Penn State’s Expense Reimbursement System for faculty and staff. 

  • Compile data for analysis and forecasting purposes as needed for finance shared services; develop and run advanced reports in support of administrative area financial operations.

  • Assist Manager with weekly/monthly processes within finance shared services, including labor and distribution plans, payment processing, and computer leasing monitoring.

  • Serve as a designee for Educational Affairs on purchasing, purchase orders and various other procurements activities.

  • Assist with special projects and other duties as assigned. 

A Level 3 financial coordinator typically demonstrates proficiency and comprehensive knowledge on finance and accounting best practices and can apply this knowledge to work assignments.  Position requires strong analytical skills along with attention to detail.  This position is student-facing and requires good communication and customer service skills.  The ability to incorporate new facts and ideas into group processes and apply creative thinking to develop new solutions is a plus. 

The ideal candidate is able to work independently with minimal supervision on difficult assignments, conferring with manager on unusual matters.

Typical Education & Experience

4+ years related experience

Or an equivalent combination of education and experience

Minimum of Associate's Degree in Accounting or related field

Proficient with Microsoft Excel and Word

Excellent Verbal and Written Communication Skills

 

This is a limited-term position funded for one year from date of hire, with possibility of refunding.

The following clearances must be successfully completed for this position: 

  • Pennsylvania State Police Criminal Background Check 
  • Pennsylvania Child Abuse History- 
  • Federal Bureau of Investigation (FBI) Criminal Background Check
