The Mathematics Department is seeking a highly motivated, detail oriented, well organized, and creative individual to fill the Financial Associate position.  Candidates should be able to set effective priorities and implement decisions to achieve immediate and long-term goals and meet operational deadlines.

Position Summary:

This position provides financial assistance to the Department of Mathematics by coordinating, auditing, monitoring, and processing financial and human resources transactions in the department. This position also assists in the creation and preparation of grant proposals, and works closely with the Financial Associate 3 and the business manager on day-to-day departmental financial and human resources actions.

 

This position oversees the monthly effort certification (ECR) entries for students, staff, and faculty supported by federal funds and assists with entry of contracts into Contract Management System, communicating with vendors and UT’s Purchasing Department as necessary.  Additionally, this position is responsible for entry of travel reimbursements and for processing of honorarium payments for guest speakers. This position manages the department’s space assignments, and coordinates the maintenance and renovation of spaces for the department. This person is responsible for the planning and logistics of the department’s events, ranging from weekly events to annual events. This position also provides assistance with employee on-boarding processes and exiting procedures and is responsible for the supervision of 2 -3 work study students a semester.

 

This position works with the Business Manager in making decisions related to grant expenditures and is a resource for faculty on questions related to University policies and procedures. In addition, this position oversees, manages, and prepares financial summaries for events funded by federal, state, and private grants, assisting the Principal Investigator (PI) and/or host faculty in making decisions regarding how payments to participants and their travel reimbursements should be distributed across the funding sources associated with each event.

 



Qualifications

 

Required qualifications:

·         High School Diploma with 2 years financial experience OR a bachelor’s degree.

Preferred qualification:

·         Event planning and coordinating experience.

Skills and abilities:

     Ability to understand and interpret policies and procedures and assist others in matters of compliance through effective communication, both written and verbal.

     Ability to understand and prepare hiring documents, such as the I-9.

     Excellent time management, attention to detail, and organizational skills are required.

     Must possess the ability to multi-task and independently problem-solve and make effective decisions.

     Must be able to work effectively in a team environment.

     Intermediate computer skills are required.

     Must be trustworthy, dependable, reliable, and self-motivated.

     Ability to work in busy situations, deal with frequent interruptions, work with a wide variety of detail-oriented tasks, and interact in a professional, courteous manner with the public, students, and colleagues/coworkers.
