FINANCIAL ASSISTANT 1, MIT Museum (MITM), to process MITM earned income (from store, admissions, programs, etc.), assist with overseeing merchant services accounts, serve as point person for documentation and approval of all purchases by Museum credit card (P-Card) holders, provide administrative support to the financial officer on managing capital budgets, and circulate budget variance reports to MITM budget managers.  Responsibilities include bi-weekly deposit of cash receipts; replenishing petty cash; approving store inventory credit card purchases; verifying cash deposits and adjusting entries, preparing weekly cashier’s report, verifying credit card deposits processed through the admissions desk, verifying merchandise payments made via credit card, and creating check requisitions for merchandise payments made by check; reconciling inventory purchasing card statement and confirming credit card revenue is deposited; reconciling UPS bill and authorizing payment; preparing monthly sales tax report and monthly and YTD operating statements; performing fiscal year-end closing tasks associated with the store operating account; making bi-weekly cash deposits, replenishing/setting up change banks, ordering equipment for transaction processing, following up with Merchant Services and/or Cybersource for income due, and tracking incoming funds from vendors; ensuring receipt of necessary financial documentation; and performing other duties as requested.

Job Requirements

REQUIRED:  high school diploma or its equivalent; two years’ financial/accounting experience; excellent communication, organizational, analytical, time-management, and follow through skills; attention to detail; strong accounting skills; sound judgment; and ability to work independently and as part of a team.  PREFERRED:  bachelor’s degree in relevant field; proficiency with Microsoft Office (especially Excel); familiarity with retail and university accounting and purchasing systems; and experience with MIT’s financial software (SAP).  Job #21657-4


Salary range:  $40,000-$68,000
