This position primarily supports the MD/PhD Program (80%) while also supporting Student Financial Aid Office (20%). Both offices are located within the Office of Medical Education and Student Affairs (OMESA) in the School of Medicine (Atlanta campus).
 
This is a collaborative position that works closely with staff at the Laney Graduate School, the School of Medicine’s Financial Aid office, Payroll, Research Administration Service (RAS) units, and academic departmental staff to ensure correct allocation of student aid. Much of the required work involves Peoplesoft tools; familiarity with these systems is preferred but training is available. Excel skills are needed (budget and report preparation/manipulation, pivot tables in particular) as we typically download reports that require additional manipulation to answer business questions. 
 
MD/PhD Program Responsibilities (80%): In close communication with the Administrative Program Director, the analyst is responsible for all financial aspects of the MD/PhD program. These include:
 
• Outlines then (in collaboration with the program administrative director) finalizes the student aid annual budget and updates this master document throughout the year.
• Posts financial aid from a variety of sources; generates reports to confirm appropriate allocation. 
• Oversees grant administration of our NIH T32 award and other NIH student awards (posting aid, year-end close-out); monitors student appointments to this and other NIH training grants to ensure timely payroll allocations 
• Hires MD/PhD students and maintains their payroll (per our master student support budget and making funding source updates as needed); oversees effort certifications
• Prepares budgets for student grants (based on existing templates and in consultation, as needed, with the program administrative director)
• Executes subcontracts for student support (prepares budget; monitors communications between institutions to ensure the award process proceeds in a timely manner; posts stipend/tuition when awarded)
• Processes refunds for travel or other expenses (primarily for students, occasionally for program staff or directors)
• In collaboration with the program administrative director and program coordinator, provides input to create (and later monitor) the program’s administrative budget
• As appropriate, prepares monthly or quarterly budget balance reports for all accounts (administrative, student support)
• Communicates effectively with colleagues to share relevant information and make timely financial aid and payroll adjustments; communicates with students when payroll updates impact state and federal tax withholdings (communication templates are available)
• Maintains in-house documentation about above financial processes
 
Student Financial Aid Responsibilities (20%): The candidate will work with the Associate Director of Finance and Strategic Operations and the Assistant Director of Financial Aid to
• generate reports about financial aid allocation, 
• process emergency student loans, 
• post student aid and
• perform other maintenance or analysis to support financial aid functions and planning.  
 
The ideal candidate will have an affinity for timelines, as grant deadlines and other institutional deadlines set by Financial Aid, the University Registrar and the Payroll Office drive our workflow. Some tasks recur monthly, some are seasonal, and embracing the annual operations cycle is key to comfortably managing the workload. 

 

JOB DESCRIPTION:

  • Analyzes historical accounting data and other information to make projections which will aid management in short- and long-range financial planning.
  • Coordinates action necessary to correct account balances and maintain proper accounting controls and procedures.
  • Assists in year-end audits and in ensuring the accuracy of accounting data.
  • Analyzes financial statements and prepares and analyzes financial reports to represent current and projected financial status.
  • Projects future trends and prepares long-range operational forecasts and cash flow analysis.
  • May assist in preparing, developing and monitoring budgets.
  • May perform indirect cost analysis. Performs related responsibilities as required.


MINIMUM QUALIFICATIONS:

  • Bachelor's degree in accounting, business management, finance or a related field and two years of financial analysis or accounting experience, OR equivalent combination of experience, education, and training.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs.  Schedule is based on agreed upon guidelines of department of work.  Emory reserves the right to change remote work status with notice to employee.
