Department-Specific Responsibilities

  • Analyzes financial data at the direction of the Department Fiscal Officer to construct a holistic understanding of financial activity of the Department.
  • Conducts financial studies to collect, analyze, and present financial information in preparation for budgeting, auditing, planning, and financial decision-making.
  • Uses data to model financial plans for the Department's financial operations and makes recommendations based on historical trends and budgetary needs.
  • Provides support to the Fiscal Officer through financial reporting and analysis.
  • Assists in monitoring day-to-day financial activity in the department.
  • Audits and reconciles accounts as directed and monitors financial activities to ensure compliance with department and university policies, procedures, and guidelines.
  • Maintains records of financial transactions; compiles and analyzes financial information to prepare reports monthly, quarterly, annually, and as requested.
  • Resolves account discrepancies as directed by the Fiscal Officer; initiates and submits financial processing documents required to adjust, correct, or reconcile accounts.
  • Serves as an expert resource and collaborator on financial policy and internal procedures.
  • Ensures sensitive and critical financial data are managed appropriately.
  • Runs financial reports monthly, quarterly, annually, and as directed by the Fiscal Officer.
  • Prepares reports as requested and maintains records of financial transactions; provides requested reports and documentation to the Fiscal Officer and other constituents regularly.
  • Ensures proper maintenance of current and historical financial records and reports.
  • Initiates necessary financial processing documents, including general accounting adjustments, transfers of funds, internal billings, and distribution of income and expense as requested by the Fiscal Officer.
  • Analyzes financial data to construct a holistic understanding of financial activity and assists the Fiscal Officer in monitoring the changing needs of the department.
  • Works with department leadership to understand the financial needs of the department and collaborate on the development of policies and procedures related to budgetary and financial operations; serves as an expert resource for financial policy and internal procedures.
  • Ensures that critical and sensitive financial data are managed appropriately.
  • Serves as Fiscal Officer delegate and assumes oversight (serves as backup) of account management and fiscal matters in the Fiscal Officer's absence; approves financial documents in systems such as KFS, Chrome River, and Buy.IU.
  • Assists with quarterly and yearly account close; resolves accounts with negative balances, requests committed funds, projects fiscal year spending to ensure it does not exceed available funds, etc.
  • Conducts financial studies to collect, analyze, and present financial information in preparation for budgeting, auditing, planning, and financial decision-making.
  • Uses data to model financial plans for department financial operations and make recommendations based on historical trends and budgetary needs.
  • Assists the Fiscal Officer in monitoring the day-to-day financial activities of the department; reviews transactions for accuracy, verifies charges, investigates and resolves discrepancies.
  • Reconciles expenditures and makes necessary adjustments using the appropriate financial processing documents (e.g., budget adjustments, transfers of funds, general accounting adjustments, cash receipts, income/expense distributions, etc.)
  • Provides direct supervision to the Payroll Specialist and is held accountable for the performance and development of that individual.
  • Ensures and provides training to improve efficiency in payroll operations.
  • Researches and identifies development opportunities, coordinates work assignments, provides objectives, ensures adequate staffing and facilities for performance of duties.
  • Monitors employee performance for accuracy and completeness, establishes work priorities, and resolves customer service issues. Regularly assesses task distribution for equity and efficacy.
  • Ensures direct reports are familiar with all department, College, and University policies pertaining to financial operations.
  • Suggests continuing education modules and recommends career advancement strategies for direct reports.
  • May conduct a variety of human resources activities for direct reports including employee and labor relations, professional coaching, and monitoring position classification authenticity as it relates to employees day-to-day responsibilities.
  • Other duties may be assigned as directed by the Fiscal Officer.

General Responsibilities

  • Performs detailed periodic fiscal analysis of income statements, balance sheets, and cash flows and compiles trends to guide financial decisions.
  • Provides specialized financial analysis support using measures such as past financial performance, economic conditions, price, yield, stability, and investment risk.
  • Interprets fiscal policies and acts as a resource to department; may provide guidance to lower-level employees.
  • May serve as fiscal delegate for department accounts.
  • Presents findings using tools such as spreadsheets, charts, graphs, and technical reports.
  • Verifies accuracy of data and makes recommendations for corrections.

EDUCATION

Required

  • Bachelor's degree in accounting, finance, or related field

WORK EXPERIENCE

  • 2 years in finance, financial administration, accounting, or related field

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
