Financial Aid Coordinator

As an active team member of the Financial Aid Office, the Financial Aid Coordinator provides frontline administrative, technical and counseling support both in-person and virtually. Under the direction of the Assistant Director of Financial Aid, the Financial Aid Coordinator administers the private scholarship awarding process and updates the Department’s intranet information. This person will perform various activities to assist with the administering of federal, state, and institutional aid to prospective and current students.
This position is hybrid and will support all students in Student Services with cross departmental processes. They will support enrollment and retention goals for student success.The Financial Aid Coordinator will assist in outreach duties to promote and increase participation in student financial aid programs, summer programs, admitted student events and other related duties or events as assigned.

MAIN RESPONSIBILITIES:


Administrative - 50%

  • Participates in training seminars, conferences, committee meetings in order to maintain current on all federal Title IV, state and institutional financial aid rules and regulations.

  • Greets and provides excellent customer service to students, faculty, staff and other departments on campus; drawing on broad

    knowledge and interpretation of departmental and college policies, procedures, and practice.

  • Works closely with the Assistant Director to maintain an established student communication plan, and identify and implement improvements as needed.  

  • Responsible for preparing, printing and sending financial aid communications, including offer letters.

  • Responsible for document tracking and the basic analysis of incoming documentation for completion and accuracy.

  • Prepares electronic student files and routes information forward for counselors to review.

  • Responds to external agencies requesting student information by reviewing student files, validating data, completing forms and verifying student's financial aid eligibility.

  • Manages and updates financial aid portal pages and private scholarship databases. 

  • Responsible for the awarding of all private scholarships. 

  • Serves as the primary financial aid team member monitoring leave of absence approvals.

Frontlines- 45% 

  • Communicates to students and families in a responsive and friendly manner about methods on how to pay for their education and financial aid eligibility. Must have the ability to explain Title IV, state and institutional regulations.

  • Interprets to students the policies, the processes and the regulations pertaining to financial aid and all aid programs.

  • Answers financial aid program and eligibility questions, inquiries or requests from students and other authorized parties through a variety of communication methods, including in person, phone, email and text.

  • Serves as backup to Administrative Assistant, Enrollment Services for scheduling meetings with financial aid counselors, checking multiple calendars for availability.

  • Provides general information about the college; supporting all Student Services cross-functional department processes over the phone, virtually, email and in person.

  • Reviews and processes tickets through TeamWork Desk. 

  • Provides basic coaching to students in need of assistance to successfully complete Financial Aid related; workday requests, forms, etc.

  • Serves as the secondary point of contact for all visitors in Student Services on a scheduled-weekly basis.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or equivalent preferred. 

  • Computer proficiency a must, i.e. PC Windows applications: MS Excel, Word and Google Suite. 

  • Must demonstrate attention to detail, working with a high degree of accuracy, strong organizational skills, strong record keeping skills and the ability to articulate and disseminate complex information to multiple audiences. 

PREFERRED QUALIFICATIONS:

  • Experience in a financial aid office or a higher education setting; knowledge of Federal Title IV and state financial aid requirements; familiarity with needs analysis methodology, application, and verification process; knowledge of financial aid software and tools, including CSAC Web Grants, NSLDS; experience with document imaging (ImageNow), and Workday.

  • Strong customer service and interpersonal skills are a must. 

  • Excellent oral and written communication skills required. 

  • The ability to multi-task with a high level of efficiency and adjust to varying assignments and workloads is a plus.  

  • Demonstrate ability to work independently and self-initiate general responsibilities, but also work in a team environment.

COMPENSATION & BENEFITS :

  • The range for the position is $26 - $27.69 per hour.

  • CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents.   • CCA considers a full-time work week to be 37.5 hours per week

  • Work Mode: Campus Hybrid

  • This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.

  • Schedule: Mon - Fri 9am-5pm
