Finance & HR Coordinator - NYU Berlin

The Finance & HR Coordinator is a full-time parental leave replacement position for the period May/June 2021 to December 2022. The incumbent is responsible for managing all day-to-day accounting functions and financial operations at NYU Berlin. They ensure accuracy and compliance for all payments, benefits and tax filings and monitor program and project expenses for adherence to budget. They serve as the primary contact for billing inquiries as well as purchasing requests and monitor cash flow and accounting projections. The Finance & HR Coordinator assists the Finance and Administration Manager and the Site Director in onboarding new staff, collecting and reviewing vacation requests, and processing work sheets and overtime documentation. As part of the Operations team, they communicate administrative policies to staff and work closely with occupational health care providers on reviewing employment regulations and organizing mandatory and other trainings.

 

Accounting (60%)

Collaborate in preparation of annual operating budgets by working strategically with the Site Director and other site leadership to develop an operating budget that supports the site’s academic and student needs in fiscally responsible way.
Ensure operation within established budget.
Participate in strategic planning in collaboration with NYU- NY based administrative and fiscal management.
Ensure accurate and timely payment and recording of all debits, including tax liabilities; reconcile accounts.
Develop and maintain cost and statistical databases.
Liaise with outside accountants for audit and advisory services.
Oversee the creation and analysis of interim and final fiscal reports against both German and American standards.


Human Resources (20%)

Onboard NYU staff, lecturers and employees of vendors in the NYU Affiliate and Account Management system.
Track staff vacation and sick leave and report this outsourced payroll service.
Collect and review monthly time sheets and overtime documentation.
Organize in collaboration with TÜV (Association of Technical Inspection) mandatory and/or confidential staff trainings and physical examinations. Monitor adherence to health and fire safety regulations.
Implement and communicate administrative policies and regularly update the employee handbook.


Supervision (15%)

Supervise one full-time position (Program Assistant Operations) and co-supervise two full-time positions (GRI Program Assistant and Special Projects Coordinator).


Other (5%)

Coordinate weekly Operation and Administration meetings.
Other tasks as assigned by the Site Director and Finance & Operations Manager

 



Required Education and Experience

  • Bachelor’s degree (Betriebswirt:in/ accounting degree preferred).
  • Three (3) working experience in accounting, performing cost accounting and maintaining accounting policies.
  • Familiarity with German labor and employment law.
  • Excellent communication skills (written and verbal).
  • Bilingual: German / English.
  • Work permit for Germany at the time of application is required.
