GENERAL DESCRIPTION 


The position is responsible for providing professional support for the treasurer’s office and assisting with the administrative functions and general operations of the College, including but not limited to purchasing, receivables, payables, cash deposits, journal entries, and monthly ledger reconciliations.

 

                                                                       


ESSENTIAL FUNCTIONS


  • Responsible for processing supplier invoices for the College, including review of the College’s purchase and requisition orders.
  • Responsible for daily deposits and assists with change fund audits.
  • Assists with the processing of receivables (invoice preparation, posting, and tracking), payables, sales tax, and others.
  • Monitor completion of supplier invoices by weekly management of the business process in Workday
  • Monitor the completion of customer invoices, spending authorization, and expense reports.
  • Responsible for reaching out to the applicable community department/person to ensure the process is completed on time and in alignment with the College’s policy/processes.
  • Sending monthly/Quarterly Pcard notifications to ensure compliance with recording expense reports for pcard holders.
  • Collect department’s mail on a daily basis and deliver applicable mail to appropriate team members.
  • Complete monthly recurring JEs as needed.
  • Complete accounting adjustments to supplier invoices as needed.
  • Complete department’s leadership team’s expense reports, as needed.
  • Provide Clerical Support for Pcard Admin
  • Monitor’s the department email account, as well as the lead liaison for financial questions.
  • Provides direct support and assists with connecting the person to the appropriate resource as needed.
  • Resolves inquiries within two business days.
  • Performs various duties as needed to successfully fulfill the function of the position.

 

Basic Qualification :

  • HS Diploma required
  • Minimum 3-5 years’ experience in AP/AR/Administrative Capacity

The individual must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

  • General office and customer service skills  
  • Intermediate knowledge of Microsoft Office Suite (Outlook, Excel, and Word, etc.)
  • Ability to work independently and as a team player.
  • Ability to complete tasks in an efficient and timely manner.      
  • Must be detail oriented for accuracy of data and information.    
  • Ability to multitask, be organized, and self-motivated.     
  • Ability to communicate verbally and in writing.
  • Understanding and ability to apply basic accounting skills and concepts.
  • Demonstrated communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal audiences and client groups.
  • Highly organized and able to consistently handle and prioritize multiple tasks and deadlines while accurately attending to detail and accuracy of data and information.
  • Must have access to reliable and secure computer and internet connection.
  • Must maintain password protection for work files and records and ensure that no one else has access to password and login credentials at remote work site.
  • Must have access to a dedicated and suitable workstation at remote location, including desk or table and supporting, upright chair. Must ensure workstation is safe and free from hazards.

 

Time Type: Full-time, 40 hours per week

 

Annual Pay Schedule: 12

 

Work Schedule : This is a full-time position working 40 hours per week. The hours of this position will be between 8:00am-5:00pm. These hours may vary due to needs of the College or department.

 

Work Model :  Hybrid (4 days in the office)

 

Compensation: Starting Pay: $23.50- $25.00 per hour

Physical Requirements : This is generally a sedentary position. Must be able to:

  • Sit for prolonged periods of time;
  • Operate a computer for prolonged periods of time;
  • Communicate with others by email, in person and over the telephone;
  • Read printed materials and a computer screen;
  • Have the mobility to work in a standard office setting and use standard office equipment;
  • Assist with the set-up and teardown of event tables, signage and other materials.
    • Requires reaching overhead, grasping, pulling, pushing, stooping, bending, and twisting;
    • Lift 15 pounds from the ground to waist level unassisted; and
  • Have the stamina to manage a high-volume workload in a fast-paced work environment.
