The Division of Graduate Education and Postdoctoral Affairs (GEPA) is the central resource for all matters related to graduate education and postdoctoral affairs at UC San Diego. Our team is there at every step in a scholar’s journey, helping them navigate their path from admission to graduation to the training environment and beyond. Working in collaboration with faculty, staff, and students across campus, GEPA guides today’s scholars on their upward trajectory to becoming tomorrow’s leaders.

The Fellowship Advisor works in close partnership with the FSU Financial Services Analyst to ensure efficient and accurate fellowship administration on behalf of the Division of Graduate Education and Postdoctoral Affairs (GEPA). The Fellowship Advisor supports graduate and professional students and postdoctoral scholars in seeking, applying for, and securing extramural and intramural fellowships by promoting opportunities, conducting outreach and training sessions, and advising on how to draft strong application materials. Annually, the Fellowship Advisor coordinates each fellowship's comprehensive call for nominations process, manages the faculty selection committee formation and training process, and ensures timely disbursement of funds for all fellowship awards managed by GEPA. Finally, the Fellowship Advisor is responsible for learning, understanding, becoming an expert in, and then training others on multiple complex technology systems related to fellowships, such as: the admissions application system, student/employee information systems, financial aid payment systems, advancement gift tracking systems, national fellowship databases and grant management systems, as well communication tools such as website content management systems, customer relationship management systems, collaborative document editing tools, and more. At the direction of the Director of Professional Development & Fellowships, the Fellowship Advisor performs miscellaneous advising, project management, and student affairs support on behalf of GEPA.

Using skills as a seasoned, experienced student services professional, provides the full range of student services within an organization such as an academic department, school, or college. Independently advises students and resolves student services-related issues on the full range of academic issues inherent within the organization. Advises faculty and management on a variety of student issues. Works with the department's / school's / college's management to recommend changes to policies, practices, and procedures. Guidance on issues requiring in-depth knowledge of specialized programs is provided by offices specializing in those fields, e.g., the financial aid office, graduate division, or student learning center, OR by the chair / dean and faculty of the department / school / college. May administer funds for student programs.

  • Working knowledge of advising and counseling techniques.

  • Working knowledge of student financial support processes, policies, and procedures.

  • Knowledge of complex U.S. visa and immigration procedures, compliance issues, and employment eligibility / authorization for international students and scholars.

  • Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.

  • Solid verbal and written communication skills.

  • Interpersonal skills.

  • Multicultural competencies; ability to work with diverse populations.

  • Ability in problem identification and reasoning; ability to develop original ideas to solve problems.

  • Skills in judgment and decision-making, problem-solving, identifying measures of system performance and the actions to improve performance.

Pay Transparency Act

Annual Full Pay Range: $56,700 - $97,500 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $27.16 - $46.70

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
