| The Faculty Promotions Coordinator provides administrative support to the promotions processes for Harvard Medical School faculty as a member of the senior professorial appointments team. Responsibilities include administrative support for all current and new initiatives. This person works with senior staff to solicit letters of evaluation for ad hoc professorial promotion committees, develop and use appropriate template material, documentation tracking spreadsheets and process timely follow- up and committee outreach. Implements an outline of priorities scheduled for all committee and meeting follow-up. Works with senior staff to problem-solve issues and streamline processes in response to feedback. Works with senior staff and committee members to schedule final meeting for ad hoc committees. May prepare dockets for monthly meetings, review documents, and schedule presentations and 1:1 CV reviews with faculty members. Acts as a liaison to ad hoc committee chairs and their administrative assistants, committee members, department administrators, and OFA representatives for appointment and promotion processes. Tracks progress and prepares status updates for office reporting to the Office of the Dean. Provides varying levels of meeting-planning support, including scheduling meeting space, arranging catering, and reserving parking for attendees. Assembles final reports on appointments and may prepare materials for the Provost. May archive completed appointments and prepare materials for review by the Office of the Governing Boards of Harvard University. Maintains candidate files from initiation to final approval. Assists with activities related to other faculty promotions work as needed. May assist with professorial faculty searches and/or junior faculty promotions processes. Partners with Program Director for Faculty Affairs for general administrative support, including scheduling and calendar management, responding to requests for information, tracking appointment and promotion committee progress, and to support a significant senior promotion-related meeting or process for the professorial team. Assists with general administrative support for the Office for Faculty Affairs, responding to requests for information, securing files, providing telephone coverage, and other related duties as needed.|

Bachelor's degree preferred. Candidate must have strong organizational skills, professional demeanor, and courtesy. Demonstrated record of confidentiality when working with sensitive materials and high attention to detail. Candidate must work well under pressure and function as a team member. Excellent spoken and written communication skills essential. Strong Windows-based computer skills with proficiency in Microsoft Word, Excel, Outlook, and Access.
