Faculty Assistants and Program Coordinators work closely with faculty and research centers to make valued contributions in support of Harvard Kennedy School's mission to educate leaders who make a difference in the world and contribute to the public discussion of pressing global issues.

The Negotiation and Conflict Resolution Collaboratory at the Center for Public Leadership supports the work of Brian Mandell and delivers research and programming in the field of negotiation and conflict resolution for public leaders. The Center for Public Leadership at Harvard Kennedy School develops principled, effective public leaders. A global hub for leadership learning, we integrate academic preparation with practice to build knowledge and character required to make positive change in the world. Position Description

Faculty Assistant (~33%)

  • Manage course delivery: get copyright clearances for course readings and post them on Canvas (online course website), track student work, liaise with guests, coordinate audiovisual support, organize in-class activities, manage office hours for faculty.
  • Communicate professionally with internal and external stakeholders on behalf of the faculty
  • Manage complex calendars, travel arrangements (including travel visas, when necessary), expense reimbursements, and logistical details of media appearances.
  • Proofread documents, retrieve research resources, and submit materials for publishing and distribution on campus and globally.
  • Plan events: communicate with guests, reserve rooms, order catering, and manage all logistics.
  • Prepare meeting documentation, manage filing systems, and maintain office inventory.
  • Read faculty member's email and identify requests for action.
  • Prepare daily briefings of faculty member's upcoming work day.
  • Onboard course assistants, course coaches, student research assistants or other temporary staff.
  • Move projects forward and continually look for ways to leverage faculty time, oversee task-tracking of action items and outstanding requests.

Program Coordinator (~67%)

  • Assist Professor Brian Mandell and NCRC with scheduling, logistics, and administrative support.
  • Prepare and submit NCRC financial reimbursements and invoices, resolve billing discrepancies, and maintain and develop vendor relationships.
  • Maintain database systems, and websites, in collaboration with the CPL Finance/Administration and Communications teams.
  • Draft and edit communications from NCRC and the research team, including e-mails, newsletters, presentations, and other products.
  • Identify potential sources of external funding and assist in preparing applications for grants and other support.
  • Coordinate with CPL Finance and Administration to hire and onboard NCRC affiliates/fellows, and research assistants.
  • Plan, organize, and manage logistics for on- and off-campus events with high-profile speakers. Duties will include overseeing outside vendors including catering and hotels; booking travel and lodging; ensuring a seamless experience for participants and speakers by managing onsite logistics; producing invitations and materials; coordinating classroom, AV and other facilities requirements; collaborating with Communications on publicity and photography; managing a budget and financial tracking; and coordinating event follow-up.
  • Support research projects and publication efforts with NCRC and other Harvard and non-Harvard entities. Occasionally, contribute to the development of teaching materials, research projects, and other publications.
  • Requires the ability to work a flexible schedule with some evening hours and occasional weekends.

Basic Qualifications

2+ years of related experience including demonstrated office administration and customer service experience.

Additional Qualifications and Skills

  • Proficient written and spoken English.
  • Proficiency in Microsoft Office Suite and internet tools, with a willingness to learn new technologies.
  • Demonstrated experience prioritizing tasks to changing needs and seeing tasks to completion in a timely manner.
  • Excellent time management skills and ability to prioritize tasks with minimal supervision.
  • Demonstrated interpersonal skills with experience providing complex administrative support.
  • Proven organizational skills and attention to detail.
  • Ability to track and follow through on action items.
  • Ability to work across teams and with a variety of projects and constituencies.
  • Ability to learn and use new technical and financial applications.
  • Bachelor's degree in related field or demonstrated work experience in the social sciences preferred.

This position is a fully benefits-eligible term appointment ending one year from date of hire, with possibility of renewal.

This is a hybrid position based on our campus in Cambridge, MA. The position is required to work in-person on campus a minimum of three days per week during the academic year. Specific days and schedule will be determined between you and your manager.

Salary Range: $59,027 - $93,064
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity.
