Overview

The faculty assistant is responsible for providing academic, administrative and research support for Chemical and Biological Engineering faculty members and their respective research groups. This position is also responsible for a significant amount of event planning, which varies in complexity from one-time parties to multi-day seminars and symposiums. Various other departmental support tasks will also be assigned as needed.

The successful faculty assistant must demonstrate a high degree of professionalism in a fast-paced environment, using sound judgement and strong organizational skills, while being flexible as demands and priorities change. This position collaborates closely with other department staff, as well as colleagues across campus and vendors/collaborators outside the University.


Responsibilities

Faculty Related Lab/Academic Support
- Provide general administrative support duties for assigned faculty and their research groups. The number of faculty assigned is approximately 8-10 at any given time.
- Make faculty and guest travel arrangements.
- Scheduling assistance, which includes managing calendars, appointment requests and meeting space reservations.
- Prepare and ship correspondence and laboratory materials for research groups.
- Course support: Assist with preparation and maintenance of Canvas sites, including uploading course related materials, sending emails to students and ordering books.
- Prepare and send correspondence on behalf of faculty.
- Assist faculty with CV updates, submission of papers for conferences and working with outside companies.
- Proofreading and editing.

Event Planning
- Plan and execute several events a year, varying in complexity.
- Events could include our departmental weekly seminar series; annual winter holiday party, BBQ and alumni social; faculty meetings, lunches and retreats; or special conferences and symposiums.
- Planning includes but is not limited to space reservations and setup, food, advertising and communications, tracking RSVPs, hotel blocks, meetings schedules, vendor relationships and managing the budgets.
- Ensure compliance with all University policies related to contracts, financials and having events and guests on campus.
- Provide support as needed to the undergraduate and graduate program administrators for student events.

Financial Support
- Purchasing and receiving of lab and office supplies.
- Maintain and reconcile monthly travel and expense credit cards (Concur).
- Process expense reimbursement requests.
- Manage the budget for assigned events and ensure expenses are all hitting the correct accounts.

Other Departmental Support
- Website updates for faculty pages, people and events (Drupal).
- Provide backup assistance to other support staff in the department.
- Department administrative duties such as mail distribution, communications tasks, etc.
- Other special projects as assigned by the Senior Manager of Finance and Administration or Administrative Office Coordinator.


Qualifications

- Bachelorâ™s degree or 3+ years of closely-related experience
- Demonstrate successful organizational and interpersonal skills; including written and verbal communications with faculty, students, researchers and staff at all levels
- Possess a service-oriented and proactive approach with great attention to detail
- Demonstrated ability to multi-task, prioritize and work independently in a fast-paced environment
- Proven ability to exercise independent judgement and make decisions based on established policies and procedures
- Willing to work independently and as part of a team
- Proficiency in Microsoft applications, including Outlook, Word and Excel

Preferred

- Experience working with faculty in a higher education environment
- Experience planning large events (75+ attendees)
- Experience with PeopleSoft, Concur, Canvas software applications a plus, but not required
