Position Summary:

Provides administrative support to the Office of Associate Dean of Faculty Affairs, Development and Diversity under general supervision. Performs advanced and confidential administrative support duties requiring broad experience, skill and knowledge of organization's policies, procedures and practices.  Work regularly requires use of initiative, discretion and independent judgment.  
 

Position Key Accountabilities:

  • Provides high level of coordination for activities related to faculty recruitment, hiring, development, and retention.
  • Assists with organizing faculty meetings, retreats, new faculty orientation, and other faculty and community events.
  • Supports Faculty Governance Committees by coordinating meetings, making room assignments, recording meeting minutes, and assisting with the setup of required IT resources.
  • May assist with implementing and managing faculty performance review processes as required by the University.
  • Provides administrative support to various FGO committees, including tracking member participation, recording meeting minutes, and preparing reports for submission to the school and/or university administration.
  • May assist faculty and  faculty related groups with of the curation and creation of faculty dissemination and marketing material.
  • May develop and maintain in-house faculty data and database systems to generate reports as requested while contributing to the ongoing enhancement of the systems.
  •  Assists with qualitative and quantitative data collection, analyses, and reporting of faculty data and school metrics. Generate reports or other responses to faculty data requests.
  • Assists the Associate Dean of Faculty and Community Affairs, by scheduling meetings, assisting with event planning and preparation, researching various topics and issues, and assisting with other projects as needed.
  • May schedule and maintain calendars and travel itineraries and may process employee expense reimbursements and purchasing of office supplies and equipment.
  • Works in conjunction with the McWilliams Dean’s Office to prepare and distribute faculty/adjunct faculty appointment letters and maintain records of adjunct appointments, renewals, and terminations. Ensure compliance with contract terms (teaching and research obligations) and university policies.
  • Maintain accurate and up-to-date records of faculty members, including contact information, academic qualifications, credentials and professional development.
  • Approve faculty timesheets, process requests for sabbaticals, leaves of absence and other faculty-related time-off requests. 
  • Manage processes for recognizing faculty achievements, such as teaching awards, research grants, and honors. Ensures endowment holder appointments are processed as required. 
  • Provide support in addressing faculty grievances and conflicts, working in collaboration with appropriate university offices and committees. 
  • Stay informed about faculty-related policies and procedures, ensuring that faculty affairs activities adhere to university guidelines. Assist in the development and revision of faculty-related policies and updates to the faculty handbook when necessary. 
  • Other duties as assigned

  • Ability to make general decisions requiring a comprehensive knowledge of a wide range of regulations, policies, procedures and practices. 
  • Generally, requires use of initiative and independent judgment.

Minimum Education:

  • Bachelor's Degree or equivalent experience in lieu of education.
     

Minimum Experience:

  • Three (3) years of experience in the administration of a program, preferably in higher education or healthcare setting.
     

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
