They will play a key role in training and guiding departments across the college in administrative processes related to faculty. The successful candidate will enjoy the complexity of leading critical administrative processes for the College while providing great customer service and creative thinking in order to ensure everything runs smoothly for our faculty and staff.
An overview of the position:
The Faculty Affairs Program Manager manages the faculty appointment and a wide range of faculty affairs processes for the College of Science which includes six departments and approximately 275 regular and 40 non-regular faculty. This individual is a key liaison to the Provost Office and the first point of contact on issues related to faculty recruitment, appointments, and promotions for the departments. The program manager will coordinate training and communication for the college as it relates to appointments, promotions, reappointments and tenure policies. The Faculty Affairs Program Manager will also provide daily support to the Director of Departmental Operations, the Associate Dean for Faculty Affairs and the Associate Dean for Research, Graduate and Postdoctoral Studies. This includes, but is not limited to, drafting letters, Onbase, Interfolio, keeping the project management system (Trello) current, scheduling meetings, assisting with the faculty activity reporting system, and organizing college-level faculty events.
Key Responsibilities for this role include:
  • Provide support to the Director of Departmental Operations and the Associate Deans
  • Work closely with departments to manage new hire appointments and ensure all packet documentation is correct.
  • Oversee the processing and accuracy of packets for the reappointment, promotion and tenure process, faculty leave, retirements, and resignations for all faculty.
  • Evolve into the college’s expert and point of contact for the OnBase faculty appointment system, Interfolio Faculty Hiring System, and the Faculty Activities Reports System.
  • Become knowledgable on faculty policy documents including the Academic Articles, Departmental Organizational Plans, and policies and procedures related to Reappointment, Promotion and Tenure.
  • Assist with organizing faculty events.

Minimum Qualifications
Bachelor’s degree (4 years)
  • 3 or more years experience in a related field
  • Excellent verbal, writing , and proofreading skills
  • Ability to communicate clearly and effectively with faculty, staff and administration
  • Ability to maintain confidentiality when required, and to exercise tact and discretion
  • Ability to work independently, with meticulous attention to detail, to handle multiple complex tasks simultaneously, to set priorities and to meet deadlines
  • Ability to take initiative and to meet new demands as the job evolves.
