Job Summary
The Harvard Law School Facilities Management Office oversees the operation and maintenance of academic and residential buildings in a campus setting, comprising of approximately 1.2M gsf. The Facilities Management Office is responsible for all aspects of building operations including mechanical, electrical, and plumbing (MEP) systems, custodial, landscaping, loading dock, mail services, energy, access control, food service, preventive maintenance, project management, all with high standards for collaboration and dedication to customer service. The Facilities Manager ensures a safe and comfortable living and work space for students and staff in compliance with OSHA, EPA, and state, local, and university regulations.
Position Description
As a Facilities Manager you will:
Oversee Harvard tradespeople, outside vendors, and coop students, assuring exemplary customer service at minimal disruption to academic activities.
Manage daily monitoring of the work order system and follow-through on all service requests. Maintain data on work request trends and activity reports.
Conduct final review and acceptance of all work and activities relative to building improvement, projects, repairs, preventive maintenance, office alterations, furniture replacements, and office moves.
Establishes standards for customer service and compliance with a focus on business process improvement to maximize productivity and value.
Complete regular building tours to identify building deficiencies, recommend necessary action.
Oversee repairs and manage residence hall turnover including inspections, reporting, and arranging for painters, maintenance, and other service providers.
Have direct responsibility for record keeping, budgeting, and billing.
Work with Associate Directors on creation and updating service contracts.
Manage Preventative Maintenance schedules and contracts by preparing bid documents and making independent judgements on vendors.
Identify, modify, or create emergency protocols for disaster recovery and critical business continuity.
Manage mechanical projects, typically under $200k.
Assist with Furniture moves and assembly as needed.
Other duties as assigned.
Basic Qualifications
Bachelor's degree or equivalent combination of education and experience.
5 or more years of progressively responsible experience in facilities management or operations including supervisory experience.
Additional Qualifications and Skills
We are looking for people who have:
Specific responsibility for directing repair work, maintenance responsibilities, and construction projects.
Understanding of Mechanical Electrical Plumbing (MEP) systems and ability to read construction drawings.
Familiarity with project planning process including contractor bid analysis and submittal reviews.
Strong computer skills (MS Office, MS Project, Outlook).
Familiarity with operating Building Automation Systems (BAS).
Strong oral and written communication skills to support all levels of the University community and a wide spectrum of outside agencies, schools, and vendors.
Ability to organize, prioritize, and perform under pressure in both an internal departmental contact and customer interaction.
Physical Requirements
Move to and from various buildings, ascend/descend multiple sets of stairs and move from room to room on each floor to inspect the physical condition of the building required.
Must be able to lift 50lbs.
Working Conditions
This position works on campus in Cambridge MA. Must be available during HLS peak times such as: holiday breaks, residence hall move-in/move-out dates, and the start of classes each semester. This position is designated with Critical/Essential Status for Harvard Law School (HLS), on-call 24/7/365, and expected to report to campus when needed during emergency situations and severe weather.
