Facilities Services invites applications for a Facilities Manager to work independently with little or no direct supervision , and perform some or all of the duties of titles below this level and considered an “expert” in the area of work.  Provides direct customer service to members of the campus and to the community at large.  Builds and maintains a work atmosphere of trust and respect by establishing open communication among team members; recognizing the value of individual differences at all levels of the organization; taking steps to prevent destructive conflict and handling conflict in an appropriate manner; listening and responding appropriately to the needs, feelings and capabilities of all individuals; and providing support and assistance to team members.

Department Specific Duties:   

Under the general direction of the Associate Director of Maintenance, this position provides professionalism, leadership, vision, structure and a positive work culture for the:

  • Custodial operation for State Funded Facilities on the Mountain Campus
  • Custodial and grounds operation for the Missoula College Campuses
  • Custodial operation for several Auxiliary Facilities including ISB and the MMAC 

The individual assigned to this position is responsible for the personnel supervision, training, administrative duties, budget management, campus communication, and operations in the Facilities Custodial Department. 

Responsibilities include, but are not limited to: 

  • Providing professionalism and leadership to the Facilities Services Custodial Crew of 40 Full-Time Employees and up to 45 Part-Time Student Employees.
  • Directing the custodial activities and covering 53 University of Montana buildings and approximately 2,185,824 gross sq. ft. of space.
  • Planning, scheduling, organizing, developing, implementing, evaluating and improving the operations of the Facilities Custodial Department ensuring that they are efficient and effective and align with the University's Mission and priorities.
  • Ensuring the effective management of departmental budgetary resources and operating the custodial department within budget.
  • Preparing annual equipment budget requests and annual supply budgets.
  • Knowing, understanding and adhering to University of Montana, Human Resource Services, Campus Police and Departmental policies and procedures.
  • Understanding and adhering to Collective Bargaining Agreements.
  • Coordinating and communicating with other Facilities Departments to ensure operations and work projects run efficiently and safely.
  • Communicating with the campus community to ensure excellent customer service including coordinating work, coordinating special projects and maintaining and improving campus.
  • Working with the campus community to resolve custodial related issues.
  • Leading the organization in Quality Management principles including inspections and systematic strategies for continuous improvement.
  • Establishing and maintaining a priority system for emergency custodial responses based on university needs including evening and off-hour emergencies, cold weather walks, and fire system walks.
  • Establishing a Safety Program to ensure safe custodial operations.
  • Knowing campus cleanable square footage and assigning work appropriately to meet the campus needs.
  • Developing orientation, onboarding, performance review and training programs for custodial personnel.
  • Participating in weekly leadership meetings.

This position assumes responsibility for managing all aspects of the custodial operations and duties performed by the custodial crew including: 


Required Skills
  • Thorough knowledge of supervisory practices and procedures
  • Thorough knowledge and experience working in a large physical plant custodial and maintenance operation
  • Thorough knowledge of budget management including the ability and experience to interpret financial operating reports
  • Thorough knowledge of custodial methods, procedures, cleaning equipment and techniques
  • Knowledge of common building maintenance issues and able to respond to maintenance emergencies after hours on an on-call basis
  • Strong analytical, troubleshooting, and problem-solving skills to identify and correct problems within custodial operations and building maintenance
  • Knowledge and ability to provide quality customer service to the campus community
  • Demonstrated understanding of university environment, mission and overall function
  • Demonstrated ability to work with a variety of diverse groups of individuals effectively
  • Ability to work effectively in a team environment
  • Demonstrated skill in interpersonal, oral and listening communication and a proven ability to interact effectively with many levels of personnel
  • Demonstrated skill in organization, time-management and delegation
  • Thorough knowledge of contracts and experience in negotiating business terms
  • Ability and experience in reviewing construction plans prior to awarding bids to insure facilities custodial requirements are met
  • Strong communication skills including the ability to read and write clear and concise reports, instructions, policies, procedures, and schedules
  • Ability to keep detailed and accurate records
  • Ability to exercise sound judgment and maintain a safe work environment
  • Possess good computer skills with Microsoft Office products (Excel and Word) in a Windows OS environment
  • Knowledge of the University Work Order System including hand-held devices
  • Knowledge of purchasing and inventory practices and procedures
  • Ability to establish/revise work plans and determine the necessary staffing of cleaning personnel
  • Ability to perform periodic building inspections to ensure that standards are being maintained
  • Knowledge of green cleaning methods and the environmental impact of cleaning
  • Demonstrated experience in purchasing supplies and equipment
  • Demonstrated experience in equipment maintenance and repairs
  • Operate a vehicle with a lift as needed
  • A valid Montana driver's license is required for this position

Physical Requirements

(Qualified candidates must be able to meet minimum requirements and perform the primary functions of the position with or without reasonable accommodation.)

  • Lifting:   Floor to 30 inches, up to 50 pounds. Floor to 60 inches, up to 35 pounds. Floor to overhead, up to 5 pounds sustained, with both hands. (Lifting buffer, Floor to 30”, 70 pounds optional.)
  • Carrying:   2 handed front carry up to 35 pounds for 50 feet. (Carrying buffer up stairs, 70 pounds optional.)
  • Pushing and pulling forces required (during the use of cleaning equipment 25 pounds, handling janitor’s cart 5 pounds).
  • Pushing and pulling forces required (handling, pushing and pulling classroom and office furniture, file cabinets, and equipment): 30 pounds sustained at waist level (60 pounds optional)
  • Static trunk forward bending and twisting from a standing, crouching or kneeling position while using tools.
  • Reaching with your arms in all directions, including overhead with 5 pounds in both hands, sustained.
  • Working overhead from various positions (standing, squatting, and kneeling).
  • Balancing when climbing and working on a ladder.
  • Use of various hand grip circumferences and firm hand grip positions while manipulating various tools and equipment (maximum 50 pounds).

Physical Screen will be administered prior to a final offer of employment.


Minimum Required Experience
  • High School diploma or equivalent with ten (10) years of progressively responsible custodial and maintenance experience; five (5) of which are in a supervisory position or an equivalent combination of education and experience.

Preferred Qualifications
  • Supervisory experience leading in a union environment.
  • Knowledge of Leadership in Energy Efficient Design (LEED) Green cleaning practices.
  • Knowledge of Crew Cleaning practices
  • Montana Department of Agriculture Pesticide Applicators License with industrial, instructional, structural and health related endorsement
