Overview
The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Facilities Coordinator for Strategic Services. Under the broad guidance of the Assistant Director, Facilities Condition Analysis, the position will primarily be responsible for performing both scheduled and unscheduled field assessments of all physical assets for all university facilities across four campuses, New Brunswick/Piscataway, Newark, RBHS, Camden, and outlying areas, in approximately 1000 buildings of varying types, including but not limited to, classroom, laboratory, athletic, student and recreation centers, health and psychological counseling centers, housing, dining, and administrative space encompassing approximately 29,000,000 gross square feet. Additionally, this position will be responsible for providing summary reports for incorporation into the AiM System Integrated Work Management System (IWMS) database. This position will work under guidelines established by the Assistant Director, Facilities Condition Analysis and will have freedom to act within those guidelines. 
 
Among the key duties of this position are the following: 
• Performs scheduled and unscheduled field assessments of all physical assets for all university facility types. This includes building exteriors, interiors, building systems, and utility infrastructure. 
• Maintains a schedule as provided to continually update the condition of all facilities. 
• Provides assessment and evaluation of site conditions, appraisal of equipment condition and database records. 
• Gathers vital information, identifies and reports problems, deficient conditions, and modifications or variations to all buildings and systems. 
• Records the need and recommends priority for corrections, improvements, and code compliance. 
• Uses a combination of blueprints and electronic devices to document, photograph, and record assessment activities and ensures that data is properly transferred to appropriate database. 
• Interacts and coordinates assessment activities with facilities condition consultants, departmental supervisors, and others. 
• Assures that all university building asset data is current, accurate, and available for reporting purposes within the database.

Minimum Education and Experience
• High school diploma or equivalent. 
• A minimum of five (5) years of experience and/or Journeyman Certification.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Thorough knowledge and understanding of mechanical building systems and infrastructure typically found in a university setting. 
  • Expertise in at least one of the following building trades (HVAC, Electrical, Plumbing, Mechanical, or Carpentry).  
  • Proficiency in reading blueprints, technical drawing, and technical manuals. 
  •  Proficiency in the practical and advanced application of an Integrated Work Management System (IWMS), Microsoft Office programs, Adobe programs, and related mobile technology within a university setting. 
  • Outstanding technical, interpersonal, organizational, and communication skills.
  • Use of personal vehicle in order to travel for business demands; a valid driver’s license would be required for this position.
Preferred Qualifications
• Demonstrable knowledge of New Jersey Uniform Construction Codes. 
• Accredited technical school certification.
Equipment Utilized
• Use of the following software will be required: Assetworks AiM System, Archibus, and e-Builder.
Physical Demands and Work Environment
• The work environment will include mechanical rooms/spaces, other non-public spaces such as basements and flat roofs. 
• Physical demands will sometimes include ladder climbing when performing field work.
