Job Overview

The department of Civil and Architectural Engineering and Construction Management is searching for an Executive Staff Assistant to handle a variety of administrative tasks. In this position you will work with the Department Head, faculty, directors and advisors to plan and organize the department’s yearly course offerings and teaching schedule; communicate with appropriate personnel in regards to adjunct needs, elective courses, and course enrollment numbers;  input and update course offerings and curriculum as needed; plan and coordinate for several departmental events, including but not limited to designing and mailing brochures, working with donors and collecting donations, contracting with vendors, working with CEAS Foundations and managing travel itinerary for visitors; support faculty and students by reserving rooms, scheduling meetings and recording minutes, ordering supplies, initiating senior class survey and sending to appropriate faculty for evaluation; assist in monitoring and compiling ABET accreditation materials for each course and combine assessment data for each course; keep up to date with ABET requirements through training; collect and keep record of syllabi for each course per semester, annually collect faculty CV’s; and work with the University Bookstore to ensure departmental classes have their assigned textbooks and supplies and moderate the department’s Listservs.


Essential Functions
  • Gather and evaluate information and assist in determining priorities.
  • Coordinate and evaluate procedures.
  • Coordinate the use of facilities and equipment.
  • Perform research concerning procedures and practices, identifying problems and recommending solutions.
  • Serve as liaison for administrator in the interpretation of policies and procedures.
  • Represent administrator on committees and attend meetings on behalf of administrator.
  • May coordinate personnel transactions.
  • Receive and reconcile expense statements.
  • Review and monitor expenditures on supplies, equipment, etc.
  • Perform other related duties based on departmental need.

Minimum Requirements
  • Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years’ experience; -OR- five (5) years’ experience.
  • Experience must be in high-level administrative support.
