I. JOB OVERVIEW


Job Description Summary:
It is the academic mission of the George Washington University’s School of Business (GWSB) to be a preeminent business school recognized for scholarly research, teaching excellence, innovative curricula, and focus on the responsible management of organizations in the global environment. In support of this mission. GWSB is seeking an Executive Special Assistant to the Dean. The primary focus of this position is providing comprehensive executive administrative support for the Dean and the Office of the Dean.
The Executive Special Assistant, GWSB Dean, reports to the Dean and has no direct reports but may supervise temporary and/or student employees.
Key responsibilities:
  • Serve as the primary point of contact and liaison for the Dean.
  • Manage the Dean’s complex schedule of meetings, travel, and briefings. Process travel expenditures and reimbursements for the Dean. Plan and implement meetings, events, and engagements involving the Dean (faculty and staff meetings and luncheons, school­wide receptions, graduation activities, and social events.)
  • Contribute recommendations to the preparation of the budget for the Dean’s office.
  • Build and maintain relationships within the GW Community and Administrative Offices to sustain GWSB’s alignment with University goals and objectives. Communicate with other University representatives, government agencies, student or alumni groups, learned societies, accreditation bodies, and other individuals or groups to exchange information, enlist cooperation, and implement department programs.
  • Ensure information flows to and from the Dean’s office via all types of venues (forums, correspondence, speeches, conferences, retreats, etc.) Coordinate all correspondence for Dean’s signature. Draft correspondence as needed. Organize and maintain the Dean’s official files, documents, and archives. Provide advice on administrative procedures and organizational policies.
  • Conduct research and prepare background materials, analyses, and reports for the Dean on special projects and presentations.
  • Assists the Dean with the collection and preparation of materials for the school’s submission of AACSB, including statistical data, information on performance metrics, and narrative reports.
  • Oversee the planning, organization, and scheduling of school-wide activities. Provide support for fundraising and development initiatives as needed.
  • Coordinate and prepare agendas and associated materials for school meetings, including the Dean’s Weekly, Executive Staff meetings, Dean’s Council, and faculty and staff meetings.
  • Coordinate all activities and communication for the GWSB Board of Advisors, including monthly meeting agendas and minutes and quarterly on-site visits.
  • Oversee the organization of the School’s faculty meetings, including agenda preparation, meeting minutes, and other communications. Assist the Dean with the management of faculty affairs (renewal, promotion, and tenure reviews and documents.)
  • Coordinate with appropriate University Offices and GWSB departments to process student evaluations, verify ranking data for all GWSB submitted information and maintain documentation on ranking filing deadlines, and assist in responding to various survey requests for information.
  • Monitors and coordinates school committee assignments, including the Dean’s Council and school representatives on university committees.
  • Drafts and disseminates invitations, newsletters, and memos to faculty, staff, and students and helps to coordinate contacts with alumni, donors, and external partners. Organizes and maintains school files, documents, and archives. Approves email communications and maintains listservs for faculty and staff.
  • Resolves routine administrative problems within the school and with other GW schools/offices.
  • Maintain strict confidentiality on all matters involving the Dean’s Office, faculty and staff, budgets and fundraising, administrative matters, correspondence, and communications.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience in a higher education setting is strongly preferred.
  • Self-motivated, with a demonstrated ability to manage multiple priorities and work under pressure to meet deadlines.
  • A strong writer and persuasive communicator with excellent interpersonal, customer service, and communication skills.
  • Excellent computer skills.
  • Able to interact effectively with a diverse population at all levels, facilitate decision-making and conflict resolution, maintain a positive and constructive demeanor, and treat all staff, students, faculty, and vendors with professionalism, courtesy, and respect.
Typical Hiring Range $62,666.26 - $86,180.37 How is pay for new employees determined at GW?
