Position Title EXECUTIVE SECRETARY
Position Summary
Responsible for assisting the Director of Operations & Budget as well as the Senior Director of Planned Giving.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP).
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities
Serves as a point of contact to assist with questions for donors, deans, chairpersons, and various other CMU departments.
Prepares endowments and naming opportunities to be presented to the CMU Board of Trustees for approval via the VP of Advancement, including sending confirmation to donors and departments after BOT meeting. Provides President’s Office with necessary Advancement-related materials for BOT meetings.
Uses DocuSign for signatures for Advancement endowment agreements and other vital agreements.
Works closely with Stewardship & Donor Relations as well as the Office of Scholarships and Financial Aid, and Accounting Services.
Coordinates meetings and calendars.
Approves payroll for all Advancement employees and students, including FMLA cases.
Monthly expense report reconciliations (PNC).
Reconciles cost centers for Advancement Operations & Budget, VP, payroll, and work study.
Works with Pledgemine software in order to have pledge cards sent to donors from phonathon program.
Works closely with the assistant to the VP of Advancement on many projects, including Advancement Board and other projects as needed.
Performs database maintenance for planned gifts, gift annuities, life insurance policies and endowments.
Coordinates planned giving advertisements for Centralight magazine.
Assists Development Officers in the maintenance of planned gifts and disbursement of new/changing information sent to interested parties at CMU.
Includes use of Crescendo software.
Attends CMU functions such as the Scholarship & Endowment Celebration and Advancement Board as a representative of Advancement and provides administrative support as needed.
Provides back-up administrative support to the VP of Advancement as needed.
