Position Title EXECUTIVE SECRETARY
Position Summary
Responsible for the budgetary duties for the School of Health Sciences, including school credit card, grant management, start-up funds, payroll and overloads, monitors professional development spending and budget updates including working with SAP. Schedules classes in conjunction with divisions, programs, and the Registrar’s office; manages waitlists, independent study courses, and incomplete and deferred grade records. Maintains official document files and schedules for personnel, tagged inventory, scholarship awards and funds, committee membership and minutes of the school meetings. Maintains school website, and the chairperson’s calendar as needed.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications
Experience working with financial records.
Knowledge of and implementation of CMU policies and procedures.
Experience with scholarship software and other standard databases.
Experience with SAP®, TimeClock Plus®, Slate®, SOS evaluations, WorkFlow Dashboard, Blackboard®, WebEx®; MicroSoft® Excel, Powerpoint, Forms, Sharepoint, Teams; Adobe®.
Experience coordinating work with other OPs in divisions and programs within the school, college and university.
Demonstrated experience building a student-centered, supportive, professional environment.
Duties & Responsibilities
Maintains and analyzes set of complex budgetary records by performing bookkeeping related duties such as reconciling, monitoring, making, and tracking expenditures, preparing budget statements regarding the status of accounts, and making recommendations as to projected budgets.
Works with groups to process awarding of scholarships and grants to students.
Processes the payroll and personnel transactions for faculty (regular and fixed-term), staff, student, graduate assistant hiring/overload/termination actions as well as maintains personnel records according to CMU policies.
Manages the scheduling of classes, including the waitlist process for HSC and MPH courses, and works with the Registrar’s Office and others at CMU.
Collects and maintains information of enrollment in independent study courses, thesis, incomplete and deferred grades.
Maintains official document files for personnel, budget, tagged inventory, committee membership and minutes of the school meetings.
Supervises, schedules, coordinates training and monitors the work flow of the student office workers and support staff in the delivery of faculty support activities, including photocopying, typing, collating, etc., and acting as office receptionist for visitors.
Conducts special projects on a recurring basis and assignments as directed; collects, compiles, and writes updates and reports on findings, including preparation of preliminary findings.
Acts with a high degree of independence as a liaison with inside and outside contacts and in preparing meeting materials, minutes, programs, updates, recruiting volunteers, and other support functions related to work area.

The Herbert H. and Grace A. Dow College of Health Professions consists of five academic units (Department of Physical Therapy, Department of Physical Education and Sport, Department of Communication Sciences and Disorders, the School of Health Sciences, and the School of Rehabilitation and Medical Science). It offers undergraduate and/or graduate degree programs in athletic training, audiology, communication sciences and disorders, exercise science, environmental health and safety, health administration, physical activity specialist, physical education, physical therapy, physician assistant, public health, school and public health education, speech-language pathology, and sport management, delivered by 100+ faculty/staff.
