The Department of Pathology at the University of Virginia School of Medicine, seeks a Senior Administrative Assistant. The Senior Administrative assistant provides clerical and administrative support for a single person, a group of people, an office, or a program. This position will provide in-person support the Chair of Plastic Surgery. They are responsible for the same duties as an Intermediate Administrative Assistant, however, they operate with additional authority, independence, or level of complexity. They work under the general direction of a supervisor, and have a demonstrated capacity to work independently as well as the ability to make decisions based on standard operating procedures and policies, or per the guidance of leadership. They may have latitude to set procedures to accomplish work tasks, establish office procedures, and ensure implementation. Senior Administrative Assistants may lead, train, and serve as subject matter experts to other administrative support staff. May supervise students and other support staff.

Duties include:

  • Provide advanced, administrative coordination to support office operations and special projects.

  • Manage executive calendar.

  • Arrange business travel, coordinate meetings, and correspond with faculty candidates.

  • Arrange business travel, coordinate meetings, and support agenda management and expense tracking.

  • Compile data for preparation and editing for senior leaders.

  • Review and answer correspondence, screen callers and visitors, and handle confidential matters.

  • Manage electronic files and produce reports.

  • Serve as the point of contact for facility, equipment, or service calls.

  • Organize meetings and materials for special events.

  • In addition to the above job responsibilities, other duties may be assigned.

This position is located in Charlottesville, VA.

MINIMUM REQUIREMENTS
Education: High School diploma. Bachelor's may substitute experience.
Experience: Four years of relevant experience. Bachelor's degree may substitute for years of experience.
Licensure: None
