Primary Purpose of Organizational Unit
The Department of Athletics exists to provide educational and athletic opportunities to young men and women, to provide an environment for student-athletes to learn, advance and excel both academically and athletically, and to serve the interests of the University by complimenting and enhancing its diversity and quality of life. Through its athletic programs, the University seeks to unite alumni, faculty, administration and students in a common shared experience. The governing unit within the Department of Athletics is the Director’s Office, which is the administrative office and clearinghouse for the entire Department of Athletics, and promotes the department’s guiding principle of educating and inspiring through athletics. This unit provides support to administrators, coaches, staff members and student-athletes in order to provide and promote a premier intercollegiate athletic program for The University of North Carolina at Chapel Hill. The Department of Athletics is a highly visible public relations arm of The University of North Carolina at Chapel Hill, with statewide, national and international recognition.
Position Summary
The Executive Assistant to the Director of Athletics oversees the daily operation of the Director’s office. This includes proactively maintaining and updating the Director’s calendar and schedule with the authority to prioritize, coordinate the Director’s travel and budget, responding to the public via the phone and email, planning and coordinating hospitality at various games and events, and maintaining the Director’s ticket lists and distribution. This position also works closely with the department’s Executive Team and handles highly confidential and time-sensitive information. Must demonstrate time management and ability to meet deadlines; verbal and written communication skills; effective organizational skills and ability to multitask; problem-solving and decision making; proactivity and self-direction and effective interpersonal skills.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Required Qualifications, Competencies, and Experience
Experience that demonstrates the ability to prioritize and negotiate manager’s needs regarding meetings, timeframes, and deadlines. Experience that exhibits an awareness of internal and external constituents and organizations through which commitments must be coordinated. Ability to prevent/anticipate scheduling conflicts and resolve conflicts competing with Director’s schedule and/or priorities. Ability to manage highly sensitive, confidential, and time-sensitive information. Requires initiative, critical thinking, and independent decision-making skills.
Preferred Qualifications, Competencies, and Experience
Ability to understand, with full awareness, the mission, goals, policies, procedures, laws, rules, and regulations pertaining to the University, the Athletic Department, the ACC, and NCAA.
Required Licenses/Certifications
Valid NC Diver’s License
Special Physical/Mental Requirements
Must be able to manage a fast-paced, high volume environment. Attention to detail essential. May be required to navigate stairs. May be required to lift/move 25 lbs. Night, evening and weekend work as required. Travel may be required.
