Primary Purpose of Organizational Unit | Founded in 1950, our Department of Maternal and Child Health is one of the world’s leading academic departments for research, teaching and practice within the UNC Gillings School of Global Public Health. We are dedicated to improving the health of women, children and families – domestically and globally. Our teaching program provides students with broad exposure to maternal and child health population needs and priorities, as well as with the skills to become leaders of tomorrow. Currently the department has 31 faculty members, 20 of whom have primary appointments in Maternal and Child Health (MCH). Complementing these faculty are four emeritus members, and more than 65 adjunct faculty, many of whom hold leadership positions in MCH research and practice settings. Given the interdisciplinary nature of our department, faculty and staff research interests and activities span the full array of issues and areas of focus for the maternal and child health population. Our initiatives are designed to create new knowledge and directly improve the health of this population. |
Position Summary | THIS IS A TIME LIMITED POSITION The Executive Assistant (EA) reports directly to the Chair of the Department of Maternal and Child Health. The position provides individual executive support to the chair, and manages the administrative operations of the office of the chair, as delegated by the chair and department manager, including but not limited to overseeing department level internal and external communications, scheduling, meetings, events, and awards. The EA will be involved in extensive high-level public contact that requires a keen awareness of protocol and cultural sensitivity. He/she must analyze, prioritize and track multiple complex schedules, confidential information, and multiple projects with attention to efficient facilitation of workflow, timeliness, accuracy and high-quality work in a fast-paced environment. Responsibilities include planning and management of local and international meetings, calls, events, travel; internal and external communications, including regular updating of the website; and analysis and development of correspondence, reports, manuscripts. The EA will evaluate requests and respond on behalf of the Department Chair, serving as liaison with other agencies and stakeholders. He/she will anticipate, negotiate, and initiate actions for problem-solving, as well as research and synthesize information to facilitate decision-making for the Department Chair. The EA will maintain collaborations with high-level individuals and officers in the University and multiple domestic and international agencies with whom the department collaborates. |
Minimum Education and Experience Requirements | High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience | Experience required: - Individual with professional demeanor who employs appropriate protocol and cultural sensitivity in high-level interactions with national and international stakeholders, as well as with University officers. - Demonstrated strong commitment to quality. - Demonstrated ability to analyze and interpret policies and guidelines, as well as detailed knowledge of administrative office work processes. - Ability to work in teams and to maintain effective professional relationships. - Ability to work independently, manage a variety of tasks, follow-up on assignments, and take initiative on projects (time and project management proficiency). - Flexibility to work across disciplines. - Excellent oral and written communication skills. - Skillful in organizing, planning and managing administrative activities. - Demonstrated knowledgeable and proficiency of software programs, including but not limited to Microsoft Word, Excel, PowerPoint, and Outlook, as well as Adobe Pro and WordPress (or similar). |
Preferred Qualifications, Competencies, and Experience | Preferred Qualifications: - Ability to maintain substantive knowledge of field, scope and diversity of Collaborating Center programs, activities and personnel to facilitate daily operations. - Ability to develop and maintain global relationships with external agencies, international organizations, prominent foundations, educational institutions and the private sector. - Familiarity with University systems, offices and practices is highly preferred. |
