JOB DUTIES
Description
Join the UCLA Health Office of Compliance Services (OCS) as an Executive Assistant, supporting our commitment to ethical practices and regulatory compliance. The OCS is dedicated to developing, implementing, and overseeing a comprehensive ethics and compliance strategy program. In this key role, you will provide executive support, meeting coordination, project management, and documentation management. Duties include: • Provide high-level administrative support to executive leadership. • Manage executive calendars, coordinate meetings, and handle communication. • Arrange, coordinate, and prepare materials for meetings; attend meetings, take accurate minutes, and distribute them. • Plan on/off-site staff and department meetings, and support compliance and privacy advisory committees. • Support compliance-related projects, initiatives, and events. • Coordinate efforts among diverse stakeholders, acquire necessary resources, and ensure projects are delivered according to plan. • Organize and maintain electronic/physical files, ensuring easy retrieval of documents. • Assist in the preparation and review of compliance-related documentation. • Assist in developing the department budget and manage the operating budget. • Manage purchase orders and process expense reimbursement forms for executive leaders. Salary Range: $71,500.00/year – $154,900.00/year

Qualifications
• Proven experience as an executive assistant or in a similar administrative role, preferably in healthcare compliance. • Excellent organizational and time-management skills. • Exceptional written and verbal communication abilities. • Proficiency in MS Office Suite and relevant software. • Ability to handle confidential information with discretion. • Strong problem-solving skills and attention to detail. • Bachelor’s degree, preferred.
