Job Overview

The Executive Assistant (EA) to the Vice President of Advancement reports to and assists the Chief of Staff (COS) in managing the day-to-day functions of the Office of the Vice President of Advancement, including managing the schedule, overseeing inbound communications, executing special projects, and ensuring materials are prepared in advance of meetings. As well, they are responsible for the logistics support and execution of Office of Advancement (OA) initiatives, including but not limited to the huddles, community-building events, and strategy task forces.

Often the first point of contact for internal and external stakeholders working with the Vice President of Advancement (VP), the EA coordinates, tracks and manages to completion work and processes that involve the VP and their office, many of which are confidential in nature and involve senior members of the University community, both internal and external.

In concert with and at the direction of the COS, the EA facilitates and accelerates the work of the VP, interacts with senior leadership of the University, and builds and strengthens ties with other departments within the University. They review incoming correspondence and determine the course of action in response to inbound requests - which often requires coordinating complex schedules, ensuring that the VP’s priorities are appropriately reflected, and applying a working knowledge of the substance of the VP’s meetings.

Responsibilities include but are not limited to:

  • Manage the schedules of the VP and the COS, oversee inbound communications, execute special projects, and ensure materials are prepared in advance of meetings
  • Provide logistical support and execution of VP office meetings, leadership meetings, office-wide meetings and retreats, and annual business planning and reporting
  • Oversee the VP’s deployment - for example, scheduling, travel logistics, itineraries, and briefings
  • Engage in internal strategic discussions related to OA and campaign priorities, as well as highly sensitive philanthropic, organizational, or personnel matters
  • Manage deployment and travel
  • Handle all contracting, expenses, and payment processes for the VP’s office in conjunction with external vendors and the main campus contracts office; and maintain financial records for the VP’s office
  • Schedule the VP, manage certain VP correspondence, and collaborate with senior leadership, faculty, students, and key university constituents
  • Support and track the implementation of strategy; and communicate the progress of key initiatives
  • Perform research and writing tasks; and generate and/or edit internal and external documents
  • Serve as a primary knowledge source for answering questions from OA staff regarding a variety of topics

The Executive Assistant is a trusted resource regarding matters related to the VP’s Office and to OA overall. They collaborate with senior leaders, managers, and employees throughout OA and the University; and interact with multiple stakeholders, including but not limited to:

  • OA managers and employees
  • OA leadership
  • Office of the President
  • Office of the Provost
  • University Counsel’s Office
  • University Deans and their offices
  • Financial Affairs
  • Office of the Chief Operating Officer and Chief Financial Officer

Requirements and Qualifications

  • Bachelor’s degree or at least five years of relevant work experience
  • At least 2 years of related professional experience
  • Demonstrable relationship-building skills (both internally and externally)
  • Strong organization skills and strong attention to detail
  • Strong oral and written communication skills
  • Mission-driven and service orientation
  • Ability to work in a fast-paced, high-volume, and ambiguous environment
  • Ability to organize and prioritize time in the face of competing priorities
  • Proven professional composure, discretion, judgment, and ability to judiciously manage sensitive and confidential information carefully.
  • Strong facilitation/presentation skills
  • Proven experience working independently and collaboratively with a team
  • Demonstrable project management experience
  • Proficiency with MS Office, Google Suite
