Description of Work Unit
The Colorado State Forest Service (CSFS) is an agency of Colorado State University (CSU), Colorado’s land grant institution of higher education, and is housed, organizationally, in the Warner College of Natural Resources. The CSFS also staffs the Division of Forestry for the Colorado Department of Natural Resources. The CSFS has 17 field units throughout the state, with a State Office located in Fort Collins on one of the foothills campuses of CSU.
Position Summary
The Assistant to the State Forester/HR Assistant is an executive-level support position that will work directly for the State Forester/Director of the Colorado State Forest Service to manage high-level administrative functions. This position must exercise excellent judgement and discretion, have outstanding communication and critical thinking skills, and excel at coordinating complex tasks. This position will communicate regularly with a wide-variety of constituents and requires a high level of professionalism in all interactions.
Required Job Qualifications
  • Bachelor’s degree plus 2 years experience supporting an executive-level position, OR a High School Diploma (or GED) plus 6 years work experience as a high-level assistant to an Officer/Administrator of a University.
  • The successful candidate must be legally authorized to work in the United States before the employment start date; Colorado State Forest Service will not sponsor a visa for this position.

Essential Duties


Job Duty Category Administrative Support for State Forester
Duty/Responsibility
·         Screen and direct the State Forester’s mail, email, voicemail, appointments, and communications, including from CSU leadership offices
·         Collects paper and electronic forms for State Forester signature, and processes for completion and return of form to appropriate party
·         Make independent judgements on appropriate response to correspondence, and respond when deemed appropriate
·         Draft correspondence for State Forester as requested, edit as necessary.
·         Plan and organize the State Forester’s commitments, including scheduling appointments and making travel arrangements
·         Facilitate the State Forester’s preparation for meetings, plan and implement meetings called by the State Forester
·         Research, organize, and produce materials for the State Forester’s meetings
·         Coordinate with the CSFS Associate Director of Communications to generate external communications for the State Forester
·         Maintain confidentiality and discretion regarding the State Forester’s correspondence and activities
·         Provide appropriate follow-up to ensure completion of tasks delegated by The State Forester
·         Execute special projects and assignments as requested by the State Forester
·         Plan Colorado State Forest Service events including scheduling, organizing, ordering, sending invitations, and preparing any and all aspects needed to complete the event.
·         Planning and facilitation of regular/routine Leadership Team meetings

Duty/Responsibility
·         Maintain and update organizational charts, routing lists and other personnel lists based on new and terminating employees; send out to the CSFS once updated.
·         Initiate new employee onboarding process including eID and email setup, new employee checklist disbursement, scheduling of new employee meetings/trainings, and communication with employee regarding first day logistics
·         Assist with annual identity wear order fulfillment, including organizing stock and shipping orders.
·         Coordinate purchase of retirement gifts and retirement celebrations including, working directly with venues and food vendors.
·         Provide backup administrative support for search process including, scheduling committee meetings and interviews, taking meeting notes, and processing applicants in the Talent Management System (TMS).
