Job Duties
The Executive Assistant to the Chancellor’s Office supports and assists the Executive Assistant to the Chancellor and the Director of Strategic Initiatives and Legislative Liaison (Director) in the daily operations of the office, serving as a liaison with internal and external constituents, responding to and performing duties as assigned. This position involves significant contact with the public, both internal and external constituents, on a constant basis throughout the workday which, therefore necessitates that the selected candidate be a professional at all times in order to gain and maintain respect of the Chancellor’s Office. This position handles confidential and time-sensitive materials and communications. Responsibilities include answering all phone calls, greet all visitors, provide guidance and directions to visitors as needed, redirects individuals to the responsible official or appropriate unit, and takes note of and forwards messages as appropriate. Constituents include university administrators, faculty, staff, students, and alumni; parents of students; members of the Board of Governors and Board of Trustees; officials from the UNC System Office; state legislators and other public figures. Must have a thorough knowledge of the university’s organizational structure, of individuals in key positions, and the purpose and function of various offices in order to carry out his/her duties of providing information to individuals. This position triages all formal institutional complaints and once the complaint is handled enters the complaint in the Maxient System. Provides administrative support to the Director including managing the Director’s calendar, schedules events and meetings with multiple participants and with internal and external constituencies such as local, state, regional, and national groups, and attends planning team meetings with the Director and collaborates with the Chief of Staff’s office to coordinate campus visits by the NC Legislature, Governor’s Office, Congressional Delegation, UNC System Office and other local government constituencies. Composes letters and memoranda, agendas, and other documents as requested by the Chancellor, Executive Assistant to the Chancellor, and the Director. Schedules and processes travel for the Chancellor, Chancellor’s spouse, and the Director. Serves as the SuperAdmin for annual leave for the Chancellor’s direct reports and those requiring the Chief of Staff’s approval. Schedules and maintains the Chancellor’s conference room and works with the Chancellor’s Division IT Support Analyst when technology is needed for meetings in the conference room. Works with the staff in Administration and Finance on use of fund for purchases and expenses in the Chancellor’s Office. Reconciles the Chancellor’s and Director’s Procard and processes payments and orders in PORT. Performs other administrative duties as assigned by the Executive Assistant to the Chancellor and the Director.
Minimum Education/Experience
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Experience, Skills, Training/Education
Excellent written and verbal communication skills; highly organized and efficient; ability to prioritize responsibilities; ability to work well with numerous constituencies, both internal and external to the University. Ability to use good judgement and exercise discretion in both verbal and written information. Proficient in Microsoft Office Suite, Microsoft Outlook, Chrome River, and Kronos.
