The Opportunity


As the Executive Assistant to the Athletics Director, you will provide comprehensive support to the Director of Athletics and Physical Education, acting as a central facilitator for a wide range of activities. From managing a complex schedule to overseeing office operations, your role will be varied and impactful. You will be the "face" of the Athletics Director's office, serving as a first point of contact and interacting with various stakeholders including university leadership, faculty, staff, coaches, student-athletes, alumni, and supporters.


Key Responsibilities:

  • Executive Assistant Support: You will provide comprehensive high-level support to the Director, ensuring the Director's calendar and schedule is managed efficiently, organizing and prioritizing daily activities, and leading projects. Your ability to facilitate communication, manage detailed travel plans, and coordinate department meetings and events will be crucial. You will be assigned projects, develop and coordinate agendas, and maintain excellent organization.
  • Communications and Reporting Support: You will monitor and manage email communications, draft and monitor sensitive correspondence, and act as a representative of the office in addressing concerns that may be non-routine and sensitive, using excellent judgement, discretion, and tact. Your role will also involve editorial assistance and the development of reports, presentations, and other documents.
  • Office Operations and Collaboration: Your exceptional customer service skills will ensure positive interactions with all university stakeholders. This will include ensuring that all individuals who make requests or express issues to the athletics director's office receive attention appropriate to the situation, which may require research, resourcefulness, patience and strong interpersonal skills. You will maintain office operations, manage expense reimbursements, coordinate and book travel plans, and uphold confidentiality with the highest ethical standards.

What We Need

  • Associate's degree and 4 or more years of experience in a related, fast-paced administrative setting, or an equivalent combination of education and experience.
  • Exceptional judgment and organizational skills, and experience maintaining strict confidentiality.
  • The ability to proactively identify and effectively address challenges, showcasing a self-starter attitude, and demonstrating a track record of independently driving projects forward.
  • Ability to work under pressure, focus and prioritize when dealing with several issues at one time, and support and take direction from multiple individuals.
  • Proficiency with the Google Suite of office software, including Google Docs, Sheets, Slides, and Forms, with the ability to assist coworkers in the use of these programs.
  • Proficiency with Microsoft Office software, including Word, Excel, PowerPoint and Outlook, with the ability to assist coworkers in the use of these programs.
  • Excellent interpersonal and communication skills. Strong writing and editing skills.
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

  • Bachelor's Degree
  • Executive level support experience
  • Knowledge of Cornell processes and procedures
  • Prior experience working in a college athletics department
