Executive Assistant to the Dean
School of Public Health and Tropical Medicine Dean's Office
Location:  New Orleans, LA
Summary

Manages all aspects of Dean's daily activities including administrative and secretarial support.  Responsible for assuring access and communication between the Dean and campus community. Represents the Dean on campus and with external constituencies when necessary. Assists Dean with long term planning and prioritization of projects.  Functions as a key member of the Dean's front office team ensuring a high level of customer service for the office. Responsible for ensuring a comprehensive professional atmosphere including meeting preparation, accommodation of guests and special visitors, staffing and presentation of Dean's Office reception area.  Solves problems and makes decisions as they arise.


Required Knowledge, Skills, and Abilities

  • Demonstrate proficiency with MS Word, Excel, Outlook (both email electronic mail and meeting scheduling functions), and PowerPoint.

  • Demonstrate strong communication and organizational skills.

  • Demonstrate ability to interact well with diverse groups of people.

  • Demonstrate sensitivity to and understanding of the diverse academic, socioeconomic, cultural, ethnic, and disability backgrounds of students and employees.

  • Demonstrate experience excelling in a highly collaborative team environment

  • Demonstrate ability to handle multiple tasks and work well under pressure.

  • Demonstrate ability to work independently, meet deadlines, establish priorities, make decisions.

  • Demonstrate proven track record of detail orientation and follow-through.

  • Demonstrate ability and willingness to adjust quickly to change.

SPECIAL REQUIRED ABILITY FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:

Ability to complete and pass successfully the required occupational health screening referenced in the University's Animal Handler Health Surveillance Program on an annual basis.

 

REQUIRED BACKGROUND CHECK, PHYSICAL, AND DRUG SCREENING FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:

Selected candidates must complete and pass a background check and an occupational health screening as a condition of employment.  For identified jobs, a drug screening will also be required. The background investigation required occupational health screening, and any required drug screening will be conducted after a conditional employment offer has been extended. 

 


Required Education and/or Experience

  • High school diploma

  • Five years experience providing advanced, executive administrative support

Preferred Qualifications

  • Bachelor's degree

  • Experience in an academic setting

Compensation Information
This position is classified as "exempt, salaried" and is assigned to pay grade 26.
