The Executive Assistant to the Dean for College of Education, Human Performance, and Health (CoEHPH) coordinates the daily and recurring operations of the College under the direct supervision of the Dean; maintains knowledge and applies the policies and procedures of the College; serves as primary contact of the College to students, faculty, staff, and the public.
Minimum Qualifications
Bachelor’s degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Successful background check is required.

Apply policies, balance priorities, and work with limited supervision in the carrying out internal working procedures. Utilize software applications at a high level of efficiency and effectiveness (PeopleSoft, PeopleAdmin, Banner, Microsoft Office Suite, Adobe Acrobat/Adobe Reader); plan and prioritize tasks on multiple schedules and calendars; locate and utilize resources independently and proactively. Maintain confidentiality and interact in a positive manner with students, faculty, other University departments, and the public. Possess a high level of organization, attention to detail, and regular attendance.

Primary Administrative Support of the Dean and College: Executes extensive duties associated with the administration and management of the Dean’s office requiring high levels of organization, discretion, and personal responsibility with little or no supervision; handles sensitive faculty, staff, and student issues professionally and maintains accurate records of all interactions: coordinates a variety of programs, partnerships, and events for the Dean’s office; manages phone and electronic communications on behalf of the Dean and College and maintains positive relationships with both internal and external stakeholders. Leads on matters of compliance with University procedures and processes; coordinates various committees and meetings for the Dean. Calls for College meeting agenda items and documents College meeting minutes; monitors facilities for needs and manages requests related to repairs and materials. Maintains the Dean’s Outlook calendar and meeting schedule efficiently.

With the Dean, manages the College’s budget and acts as liaison between the College and the Academic Affairs Budget Manager; holds a University purchasing card, serves as p-card liaison for the College and complies with all policies and procedures; plans and manages travel arrangements and reimbursements with the Dean and guests of the college. Provides administrative support for College-level grants.

Acts as liaison between the College and the Academic Affairs HR Coordinator on processes related to hiring and search, faculty records, and annual reviews and evaluations. Prepares and manages hiring and pay processes, including payment of University Supervisor invoices; maintains personnel files for the College.

Provides support to administrative staff in the College with training/orientation; provides back-up support with administrative duties for other departments/divisions/centers in the College as needed. Assists the Dean with special projects and events, reporting, and data collection. Hires, Onboards, and Supervises student worker for the CoEHPH Maker Space and Presentation Rooms on tasks related to equipment, supplies, scheduling, and faculty and student usage.
