Job Summary

The Executive Assistant to the Associate Vice President (AVP) performs a full range of high-level administrative functions which includes: supporting and coordinating AVP's office daily activities; handling sensitive and confidential information; arranging meetings and events; and making travel arrangements.


Key Responsibilities
  • Responsible for providing administrative and clerical support for all aspects of the AVP's office, often including other Directors.
  • Handles sensitive and confidential matters and communications often coming from President's Office, Provost's office, and other Dean's offices on campus.
  • Coordinate all day-to-day operational functions of the AVP's office and serve as the AVP's personal representative within CIE, on-campus, and outside of CSULB.
  • Serve as a backup for Student and/or Staff.

Knowledge Skills and Abilities

Thorough knowledge of university infrastructure, policies, and procedures. Ability to work independently with only general guidance and direction, establish priorities and assume full responsibility or completion of assignments. Ability to interpret and apply policies and procedure independently and use judgment and discretion to act when precedents do not exist. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Understanding of issues from a broad perspective to solve problems and resolve conflicts. Expertise in Microsoft Office, Microsoft SharePoint and Microsoft Outlook. Thorough mastery of English grammar, punctuation, and spelling.

Ability to maintain the highest level of confidentiality as it relates to all areas of this position. General knowledge of Human Resources/employee benefits. Follows all University policies, procedures, and guidelines including but not limited to safety, civility, and non-discrimination policies and procedures. Maintains safe work environment. Ability to communicate with people in a professional and effective manner. Functional knowledge of and skills in standard office procedures and practices; as well as an ability to understand and operate in a variety of organizational structures. Ability to interpret a wide variety of written rules and regulations. Possesses the ability to utilize problem solving techniques investigating and resolving complex situations; identify, trace and correct errors.

The ability to establish and maintain cooperative working relations with co-workers and appropriate campus offices. Ability to work independently, set priorities and supervise others; exercise tact, courtesy, alertness, and good judgment in responding to others. Organizational, interpersonal and communications skills are very important in this position since the incumbent comes in contact and must work with every department within the Center for International Education (CIE) and many campus departments. This position is representing CIE and the AVP while making these contacts. Experience in applying university policies and procedures is helpful since the incumbent will be required to understand and interpret campus policy and procedures as they relate to CIE. Knowledge of CMS preferred.

Education and Experience

Equivalent to five years of administrative support experience required.


Licenses / Certificates

CA Driver's License preferred.

Compensation

CSU Classification Salary Range: $3,681- $6,034 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Time Base

Full-time temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
