The Price School of Public Policy has an immediate need to hire an executive assistant to support the deans office and the interim dean, reporting to the chief operating officer.

The executive assistant will be required to independently analyze, organize, and prioritize daily support activities as well as review, evaluate, and rank all incoming requests and communications for the dean. This person must have a professional demeanor and excellent written, verbal, and interpersonal communication skills to ensure the deans day-to-day activities are efficient and effective.

This is a full-time position. For the first 90 days, the work arrangement will be fully on-site. After the first 90 days, the work arrangement will be hybrid.

The executive assistant will:

  • Oversee the administrative operations of the deans office

  • Manage the deans schedule and coordinate all meetingsZoom, hybrid, and in-personincluding meetings with the Price Deans Cabinet

  • Save meeting materials and collate background information; confirm details with attendees

  • Collaborate with members of the Price Deans Cabinet in organizing Board of Councilors meetings and other important events, including prospective and current student events, alumni events, and national conferences

  • Maintain electronic filing systems, up-to-date records, and contacts

  • Arrange travel and accommodations for the dean

  • Make recommendations and order gifts on behalf of the dean

  • Submit and track deans expense reports

  • Screen and direct all incoming calls and relay information as appropriate

  • Supervise the administrative assistant and student workers, providing back-up support at the front desk as needed

  • Prepare correspondence

  • Manage special projects as needed

Required and preferred qualifications:

  • Bachelors degree

  • Direct experience supporting a senior executive in an academic environment

  • Strong computing skills: Microsoft Office 365, Box

  • Strong customer service and problem-solving skills

  • Excellent organizational skills to address, prioritize and coordinate multiple activities concurrently

  • Strong verbal and written communication skills

Compensation

The annual base salary range for this position is $85,000-$97,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidates work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
