Job Description

The Executive Assistant to the Director provides administrative support to the Director of TAMFS and to other staff within the Director' s Office. This position serves as the liaison for administrative issues between the Director' s Office, other agencies, A& M System staff, the Vice Chancellor for Agriculture and Life Sciences Office, the Chancellor' s Office, and elected officials. The position reports to the Director and routinely works with matters that are of a sensitive or confidential nature.


Responsibilities:
-Provide administrative support to Director and staff within Director' s Office, including: making travel arrangements, scheduling appointments, meetings and other events, handling submission of BOR agenda items, typing, proofing, preparing, and/or filing documents, researching or gathering information, recording minutes for Executive Team meetings, maintaining CBA and Procurement cards, maintaining property inventory, serving as Workday Timekeeper administrator, purchasing goods and services for the Director' s Office and interacting with visitors to the Director's Office.
-Serve chair of personnel meeting planning committee and awards committee. Coordinate submission of nominations for Board of Regent's and Vice Chancellor's awards.
-Serve as liaison for administrative issues between the Director' s Office, other agencies, A& M System staff, the Vice Chancellor for Agriculture and Life Sciences Office, the Chancellor' s Office, and elected officials.
-Monitor and oversee operating accounts for Director' s Office. Approve all Director's Office bills for payment. Ensure proper paperwork is processed for funds received or expended by Director's Office.
-Other duties as assigned


Education and Experience:
Required Education : High school diploma or GED

Preferred Education: Bachelor's Degree
Required Experience : Minimum of 5 years experience in responsible administrative support position(s).

Preferred Experience : Experience in an administrative support position for a senior or executive level office at a Texas A&M University System institution.


Knowledge, Skills and Abilities:
Required Knowledge: Working knowledge of Microsoft Word, Excel, PowerPoint, Adobe.

Preferred Knowledge : Knowledge of A&M System and State of Texas regulation.

Required Skills : Sound judgement. Strong interpersonal, communication and customer service skills. Detail oriented. Thorough and accurate in work. Strong organizational skills
Required Abilities : Ability to work with all types of individuals. Ability to work independently. Multi-task and work cooperatively with others.

Required : Valid Texas Driver's license.
