Job Summary: : The Executive Assistant II provides complex administrative support for Vice President or position of comparable size, scope, and complexity. Performs complex and non-routine administrative tasks requiring frequent discretion and independent judgement. Acts as liaison of the executive and their office. Drafts and sends communications on executive’s behalf. Manages the office of the executive to include supervision of office staff. Oversees maintenance of all files, records, and reports. Oversee and works on special projects.


Additional Department Summary: Serves as the primary administrative support for the Office of the Vice President for Student Life. Provides high-level, confidential support to the VP and other staff. Oversees all logistics and details for the VP's Office to include: calendar management, travel logistics, interviews, and major divisional events. Maintains updated, confidential HR files. Posts current recruitment to external job sites for the division. Communicates on behalf of the Vice President to both UA and external constituents, to include drafting correspondence, reference letters, etc. Completes required training and promoting a safe, hospitable, and respectful workplace. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.


Required Minimum Qualifications: Master's degree; OR bachelor's degree and two (2) years of complex administrative support experience; OR associate's degree and four (4) years of complex administrative support experience; OR high school diploma or GED and six (6) years of complex administrative support experience.


Skills and Knowledge: High attention to detail. Demonstrated ability to manage multiple, simultaneous projects and tasks. Proficiency in the usage of personal computers and standard application software such as word processing, spreadsheet and/or database management programs. Demonstrated strong verbal and written communication skills. Demonstrated excellent planning and organizational skills. Ability to function independently solving problems and making decisions. Ability to prioritize and schedule work for efficient operations. Demonstrated ability to maintain strict confidentiality. Demonstrated commitment to expanding multicultural knowledge, awareness, and skills as evidenced through demonstrating self-awareness; understanding and valuing others; demonstrating knowledge of social inequalities; interacting effectively with people from a variety of backgrounds and experiences.


Preferred Qualifications: Demonstrated experience performing complex administrative support for the executive management level. Experience in an higher educational institution. Working knowledge of the Banner system in order to maintain budgets and access student records.
