The Executive Assistant I is responsible for providing direct administrative support to the Associate Dean for Hospital Operations.

Other Requirements or Other Factors: Persons in this position are considered essential when the University declares an emergency, campus closure, class cancellations, etc., and are therefore required to report to work and remain on duty unless/until relieved by the direct supervisor.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Three years of experience in office administration

Required Knowledge, Skills, and Abilities:

  • Advanced knowledge of spreadsheet, presentation, and word processing software programs.

  • Interpersonal and communication skills and ability to plan and organized effectively.

  • Ability to multi-task and work cooperatively with others.

Responsibilities:

  • ADMINISTRATIVE SUPPORT: Provides direct administrative support to the Associate Dean for Hospital Operations. Handles complex and confidential issues. Maintains current knowledge, interpretation, and application of University Policy. Maintains hospital policies and procedures documents and assists in communicating policies and procedures as directed. Maintains the hospital strategic plan. Schedules meetings and prepares notices or agendas for meetings. Manages and maintains the Associate Dean's calendar. Coordinates and prepares travel arrangements. Coordinates and monitors action items and assignments made by the Associate Dean. Serves as a liaison to faculty, staff, and the administrative team. Reviews administrative practices and programs and assists in formulating policies. Prepares executive level memos, communications, and correspondence on behalf of the Associate Dean of Hospital Operations. Serves as a backup and assists with administrative support for the VMTH administrative team.

  • REPORTS & CORRESPONDENCE: Uses advanced level English language skills, both written and verbal, in the drafting and creation of hospital correspondence, reports, and various other documents. Prepares and maintains Hospital Board minutes, records, and communications. Research, compiles, and applies information, making evaluative judgments on appropriate data to use. Performs advanced word processing, presentations, and data management activities.

  • EVENTS COORDINATION: Plans and helps to coordinate the annual hospital events as well as provide logistical on-site support for the hospital events.

  • RECORDS RETENTION: Assists with establishing and maintaining current administrative processes for the Veterinary Medical Teaching Hospital (VMTH) administrative team. Performs other duties as assigned.
