Job Description

Purpose:

The Executive Assistant I reports to the Executive Assistant III and provides administrative support to Assistant Vice Chancellor for Business Management, Chief Financial Officer, and Executive Director for Engineering Communications. Work involves coordinating high-level interactions with the campus community and assisting with highly confidential administrative matters. Exercises discretion and independent judgment with respect to matters of significance.

Responsibilities:

  • Coordinates calendar, meetings, and other activities for the Assistant Vice Chancellor for Business Management, Chief Financial Officer, and Executive Director for Engineering Communications. Provides technical guidance and advice on administrative matters to executives. Coordinates and monitors action items and assignments made by the administrator.
  • Provides general office support to the Vice Chancellor and Dean’s office.
  • Drafts and manages correspondence and communications, schedules appointments, manages calendar, and coordinates travel. Prepares travel arrangements and itineraries and may approve and process travel reimbursements. Prepares notices or agendas for meetings.
  • Assists in compiling reports, maintains records and other documents, and coordinates special events. Communicates policies, procedures, standards, and methods. Interprets policies, rules, and regulations. Responds to inquiries, resolving problems or inquiries.
  • Reviews administrative practices and programs and assists in formulating procedures.
  • Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support.
  • Researches, compiles, and applies information, making evaluative judgments on appropriate data to use.
  • May have records management and inventory responsibilities.
  • Performs other related duties as assigned.

What we need:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Three years of related experience.

Knowledge, Skills and Abilities:

  • Proficiency of word processing, spreadsheet, and presentation applications.
  • Proficiency in coordinating virtual meetings, including the setup, scheduling, and troubleshooting of various virtual meeting platforms such as Zoom and Microsoft Teams.
  • Strong written and verbal communications skills.
  • Excellent organizational skills including the ability to manage multiple tasks simultaneously, prioritize workload effectively, and meet deadlines.
  • Ability to work effectively with a team and support a collaborative work environment.
