Organizational Unit Overview
The Department of Family Medicine is one of eleven clinical departments at the Brody School of Medicine. The purpose of the department is to improve the health of the people of eastern North Carolina through leadership in Family Medicine education, research and health care services. The department provides accessible, high quality health care for its patients. The Department of Family Medicine consists of seven divisions, as well as a central administration office. Each division has a responsibility that supports the overall mission of the department. The divisions include educational development, research, medical student education, residency, geriatrics, clinical services, and sports medicine. Clinical activities take place in the Family Medicine Center, Robert and Frances Monk Geriatric Center, Firetower Medical Office, nursing homes, Vidant Medical Center and in the community.
Job Duties
ECU Brody School of Medicine’s Department of Family Medicine is currently seeking to hire a full-time Executive Assistant to join their Administrative Team.
The purpose of the position is to provide administrative support to the Chair, coordinate the annual faculty evaluation process, assist with the development of faculty recruiting plans, provide administrative support to the department Personnel and Promotion and Tenure committees, communicate with incoming faculty regarding the onboarding and credentialing process and distribute agendas and take minutes at departmental meetings.
The position also provides support to the chair to include maintaining the Chair’s calendar, scheduling appointments, handling correspondence, tracking work activities, etc. The position must maintain confidentiality as it relates to personnel and other sensitive matters, work independently and be well organized.
The position must have knowledge of university, ECU Faculty Manual, ECU, BSOM and department policies and procedures in order to provide direction and correctly complete assignments.
The office of the Chair is highly visible, interacting with faculty and staff within the department, the School of Medicine, the local medical community and nationally.
Minimum Education/Experience
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education
Administrative experience.
Knowledgeable of EEO policies, FMLA, labor practices, University EHRA hiring/exit procedures, agenda preparation, minute composition, and generally accepted accounting practices.
Experience with promotion and tenure policies as well as preparing a Personnel Action Dossier (PAD).
