Position Summary

As the Executive Assistant and Strategic Initiatives Coordinator in Human Resources, you will provide confidential executive administrative support to the Chief Human Resources Officer (CHRO)/Vice President, scheduling support for HR's Chief of Staff, and manage the HR Administrative Assistant and the HR Service Center. You will also lead administrative related activities within HR and assist the CHRO in tracking current and future HR initiatives, including status and resourcing needs.

Reporting directly to the CHRO/Vice President, this position is responsible for effective management of the CHRO’s extensive meeting schedule, as well as demonstrating the flexibility to pursue an active agenda of priorities and the ability to react quickly to emerging issues. You will serve as a member of the human resources executive leadership team and work with the CHRO and the HR Directors to coordinate planning and execution of a strategic approach across the functional areas within the HR portfolio.

The Executive Assistant and Strategic Initiatives Coordinator serves as the primary point of contact for inquiries to the CHRO and provides a communications link between the CHRO and UO administrators; faculty, staff, and students; other universities; professional associations; and city, state, regional, or national organizations and agencies. This position must support diversity and inclusion in every aspect and responsibility associated with the job. The Executive Assistant and Strategic Initiatives Coordinator assists and acts in a confidential capacity to managers who formulate and effect management policies during collective bargaining as defined in ORS 243.650, retrieving and organizing strategic information in response to union proposals during collective bargaining.

This position is based in Eugene with some level of flexibility, including the option to work remotely with frequent commuting to campus. All adjusted work arrangements require supervisor and leadership approval.


Minimum Requirements

• 3 years of executive administrative support
• 1 year experience supervising 1 or more direct reports


Professional Competencies

• Ability to work comfortably across a broad set of campus units, interacting regularly with senior administrative support and senior leadership to accomplish the strategic and transactional activities of the Office of Human Resources
• Demonstrated discretion, sensitivity, flexibility, patience, courtesy, analytical ability, and the capacity to maintain a calm demeanor under pressure
• Excellent interpersonal communication skills, including the ability to work effectively with individuals and teams from diverse backgrounds and differing perspectives
• Demonstrated experience in Work, Excel, PowerPoint, and Outlook (or similar software), data management, web maintenance, and creating confidential proposals, reports, plans, presentations, or other documents, as well as drafting correspondence on behalf of the CHRO
• Demonstrated ability to coordinate and manage time sensitive inquiries and requests
• Demonstrated ability to effectively organize individual and group meetings
• Excellent communication, decision making, and problem solving skills
• Ability to work successfully across multiple tasks, shifting priorities, and a broad spectrum of constituents both internal and external to the university
• Ability to work independently as well as in a team environment, demonstrating effective time management, initiative, and ability to meet deadlines

• Higher education and/or University of Oregon experience
