The Office of the Executive Vice President is seeking an experienced professional for a six-month assignment as an executive assistant and project manager. This position is a unique opportunity to backfill a central position within the chief administrative officer’s suite, gain exposure to senior leadership and support executive committees responsible for the institution’s COVID-19 response. In this role, you will join a highly integrated and effective professional team where you will serve as a thought-partner and problem-solver.

The executive assistant (EA) and project manager (PM) for the executive vice president (EVP) provides high-level administrative and project management support to the EVP, ensuring the EVP's work is managed effectively and coordinated efficiently. This position is responsible for proactively and independently managing select projects related to multiple, complex and sensitive enterprise-level priorities. The EA and PM for the EVP maps, organizes and manages varied EVP work activities, including preparing agendas, researching background material, and liaising with campus stakeholders to track action items. The EA and PM independently prepares materials submitted from the EVP to the Board of Trustees, as well as meeting minutes, position papers, high-level correspondence, and presentation materials. The EA and PM serves as a communication delegate for the EVP, effectively interacts with administrators and manages multiple highly visible projects that require interdepartmental collaboration and have University-wide impact.

 



EA responsibilities include managing the EVP’s complex and dynamic calendar, coordinating travel, and preparing briefing materials for daily review. This position oversees the OEVP office coordinator and is responsible for reviewing and approving cabinet travel and expense vouchers. PM responsibilities include organizing executive staff meetings and retreats, producing academic and administrative managers group meetings (400+ managers across the institution), supporting the EVP’s deputy for safety and administration and chief of staff in the production of senior staff meetings (40+ leaders across EVP units) and producing ad hoc town hall meeting webinars.



Professional executive-level administrative experience with excellent oral and written communication skills to effectively and tactfully communicate and collaborate with diverse constituencies at all organizational levels.

Proven ability to take initiative and work independently with minimal direction.

Demonstrated experience with the highest level of professionalism managing confidential and complex projects. Ability to gather, analyze, interpret and present sensitive information.

Extremely detail-oriented with a high degree of discretion and experience exercising excellent judgment and diplomacy.

Exceptional analytical and problem-solving skills, ability to evaluate information at a strategic level, establish priorities and act decisively with minimum supervision, particularly under pressure in a fast-paced environment. Strong problem-solving and organization skills.

Experienced collaborator and communicator with an understanding of the culture and operations of higher education administration.

Familiarity with Princeton University is a plus, including financial systems (PRIME, Concur) and proficiency with MS Office Suite including Excel, PowerPoint, Word, Outlook, SharePoint, Google Docs or other collaboration tools.
