Job Summary

The Executive Analyst will handle and oversee the smooth operation of the office of the chair to ensure the implementation of critical and sensitive departmental and university business.

The Executive Assistant will provide direct high-level analytic support to the unit director, assistant directors, and the CAO. She/he will be the “face” of the chair and department to local, national and international constituencies. Incumbent will coordinate the chair’s management staff, manage competing priorities on the director’s time, strategize and promote the director’s initiatives, screen and triage highly complex and confidential information, handle all aspects of high-level faculty activities, including planning and implementing major annual faculty and major donor events. She/he will also manage the NIH T32 training grant renewals. The Executive Assistant to the director must be able to prioritize in a fast-paced environment, independently analyze issues, work with minimal supervision, and be exceedingly well-organized and flexible. Since the incumbent will interact with a wide range of audiences, diplomacy and tact are essential, together with excellent verbal and written communication skills. The Executive Assistant position reports to the Director and provides administration management in the following areas:  training grant coordinator, executive support to the Director, manage the unit’s website, assist with the unit newsletter, assist the CAO with operational assignments, manage the unit’s directory, oversee room reservations, and Archibus space management.

Department Description

The Cardiovascular Research Institute (CVRI) performs cutting edge research illuminating cardiovascular and pulmonary biology and disease and trains clinicians and scientists to become future leaders of these fields. The CVRI provides a home for a wide spectrum of investigation ranging from the most basic science to disease-focused and patient-based research. It also links faculty interested in cardiovascular biology and disease across UCSF programs, departments and campuses. The diversity of CVRI’s faculty and its collaborative culture fosters a multidisciplinary approach to research problems and provides an important bridge between UCSF’s outstanding clinical and basic science departments.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3 years of administrative/executive assistant or related experience.
  • Thorough knowledge of common organization-specific and other computer application programs. Intermediate proficiency in standard software applications, including Microsoft Office (Word,Excel and Powerpoint), Endnote, Mail client and Scheduling software.
  • Thorough knowledge of 25Live, My Expense, Bear Buy and Advance.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.
  • Proven Analytical/problem-solving skills.
  • Proven skill in interacting with diverse population.
  • Proven strong project management skills.
  • Advanced written and verbal communication skills.
  • Demonstrated political acumen and sensitivities to the differing perspectives and political circumstances within internal and external constituencies.
