Position Overview

The Events Specialist reports to the Manager, Campus Events and responsible for executing the hospitality plans for meetings and events for internal customers (Recruiting, Student Services, etc.) and external, revenue- generating clients.


Job Description

40%- Serve as Day of Contact for all events held on campus. Will work with clients to finalize event details, including beverage set ups, logistical arrangements and event timing in preparation of the event.

30%- Serve as point person on the day of event. Will provide timely and consistent communication with clients regarding event details needed (technology, refreshments, copies, etc.) Responsible for beverage and linen set ups.

10%- Participate in development and implementation of new, internal events to enhance Edwards Campus teams development and staff recognition. 

10%- Responsible for all event inventory. Manage beverage and linen services. Grow good relationships with internal and external vendors in support of event implementation.

5%- Communicate and coordinate with Information Technology (IT), Campus Facilities and Office of Public Safety regarding timing and set up or events.

5%- Other duties as assigned.


Position Requirements

  • Available to work irregular hours. May include early mornings, evenings, and weekends.

  • Required Qualifications

  • Bachelor's Degree from an accredited four-year institution in communications, public relations, education or other relevant field and a minimum of one year of experience in planning, organizing, and implementing events OR an Associate's degree in communications, public relations, education or other relevant field with an emphasis in hospitality and a minimum of three years' experience in planning, organizing, and implementing events.
  • Requires excellent organization, negotiation, and high level of customer service skills.
  • Requires proficiency in Microsoft Office applications.
  • Demonstrate attention to detail and work well as a team member as demonstrated in application materials.
  • Must establish and maintain effective relationships with internal and external constituencies. 

  • Preferred Qualifications

  • Special consideration will be given to applicants with experience in program development and constituent relations.
  • Individual must have initiative, use judgment, and be self-motivated.
  • Experience with 25Live scheduling software a plus
  • Knowledge of University of Kansas policies and procedures.
  • Ability to lift 35 lbs. with or without reasonable accommodations.
  • Ideal candidate will have experience in special projects dealing with VIPs, including corporate and institutional leaders, and events experience in a high energy and deadline-driven environment.
