For over 50 years, The University of Oklahoma Outreach, National Resource Center for Youth Services (NRCYS) has been improving the effectiveness of human services through training, capacity-building consultation, and other services.  Over the years, our resources have helped support the missions of various human service organizations in Oklahoma and across the nation.

Position:

The Events Specialist position performs routine records processing duties following specific rules and instructions. The position is responsible for data entry and core administrative support activities associated with the hosting of trainings, meetings, and conferences. 

Duties:

  • Data entry for events associated with the registration and records for training and conference participants. Process registrations and related payment information. 
  • Prepare sign-in rosters, name badges, confirmation letters, handouts, composite evaluations, certificates and other event related reports.  
  • Prepare, assemble, and pack event materials for delivery and/or shipping. 
  • Maintain office inventory, filing systems, and records.
  • Manage inventory, storage, and care of event equipment, materials, and supplies. 
  • Participate in regularly scheduled project, team, program and agency meetings. 
  • Communicate and collaborate with internal and external customers through meetings, telephone, and email correspondence. 
  • Write reports, professional correspondence, and other project related documents. 
  • Uphold, safeguard and engage in activities to support the University mission, NRCYS vision, mission, values, and core principles. 
 

Job Requirements

Required Education: High School diploma or GED, AND

  •  12 months of office/clerical experience.

Skills:


  • Excellent communication and multi-tasking skills

  • Acute attention to details

  • Microsoft Office proficiency

  • Ability to manage multiple priorities and deadlines while producing quality results

Advertised Physical Requirements:

  • Standard office environment 
  • Will occasionally work in an unconditioned warehouse to prepare boxes for events and organize inventory.

Department Preferences:

  • Experience working with trainers to prepare for trainings, meetings, and conferences.
  • Experience producing documents, gathering training supplies, and packing materials for trainings, meetings, and conferences.   

Supervision:  This position has no supervisory responsibilities.
