Department Description

This position works directly for the Air Quality Research Center (AQRC), which is part of the Office of Research. This position is responsible for select events and program related activities within AQRC. This position executes a variety of events, of varying length, complexity, visibility, and difficulty and receives guidance from the Conference Supervisor.

 

Job Summary

Under general supervision of the AQRC Conference and Outreach Manager, manage outreach activities including conferences, workshops, seminars and webinars, tours and visits, and public and private events which enhance the stature and visibility of the Center. Responsible for all facets of program planning including content design, speaker communication, management, facilitation, stakeholder and sponsor development, public relations and marketing and promotion. Direct conference program planning committees and the support efforts of event vendors and staff. Administer complex university policies and procedures related to the use of campus facilities and services. Within university guidelines evaluate event requirements, develop comprehensive cost projections, and provide complete event management and registration services. Supervise staff and student assistants supporting events.

PHYSICAL DEMANDS

  • Sit at a computer for extended periods of time.
  • Maneuver office materials weighing up to 25 lbs.

 

WORK ENVIRONMENT

  • Restricted vacation during peak periods.
  • Work flexible schedule including occasional evenings/nights/ weekends/holidays and varied lunch hours often on short notice to meet operational needs.
  • Occasional overnight travel may be required.
  • Employee is personally responsible for following safety guidelines/ procedures.
  • Provide own transportation to off-site meetings and events.

MINIMUM QUALIFICATIONS

Minimum License/Certification: 

  • Valid driver’s license to occasionally drive alternative fueled vehicles provided by the University.

Minimum Education/Experience:

  • Program development experience including content management, event logistics, marketing and promotion.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Skills to synthesize ideas from multiple stakeholders to conceptualize and develop original programmatic content for diverse and sophisticated audiences, in varied formats.
  • Communication, presentation, and public speaking skills to work with event participants and to represent the Center and campus in public forums.
  • Management and leadership skills to plan, budget, and negotiate to achieve programmatic goals.
  • Interpersonal skills to work effectively with diverse constituents including university leadership, donors, faculty, staff, students, service providers, volunteers, and the public.
  • Organizational skills to meet competing deadlines, and establishing goals and priorities with limited supervision, while maintaining strict attention to detail.
  • Strong writing, editing and proofreading skills to prepare correspondence and other written materials.
  • Ability to assess and understand programmatic needs to gather information on audience characteristics and requirements for planning of innovative events.

 

PREFERRED QUALIFICATIONS

Preferred Education/Experience:             

  • Experience with wildfire resilience, climate adaptation and air quality topics. 
  • Experience creating diverse and inclusive events.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of effective promotional and marketing techniques.
  • Knowledge of the principles of risk management and liability as they relate to events.
  • Familiarity with university/campus policies and resources related to events.
  • Familiarity with virtual meeting event platforms and systems
